Administrative Support

  • Managing diaries, meetings, and room bookings.
  • Preparing agendas, minutes, and action logs.
  • Handling correspondence, emails, and telephone enquiries.
  • Maintaining filing systems and business records.

Operational Support

  • Coordinating day-to-day business activities.
  • Monitoring and tracking tasks, projects, and deadlines.
  • Supporting the implementation of business processes and procedures.
  • Assisting with compliance and audit requirements.

Financial Administration

  • Raising purchase orders and processing invoices.
  • Monitoring budgets and expenditure.
  • Maintaining supplier records and liaising with vendors.
  • Supporting payroll or expense administration.

Data and Reporting

  • Producing reports, spreadsheets, and presentations.
  • Maintaining databases and management information.
  • Analysing basic business data and producing summaries for managers.
  • Ensuring records are accurate and up to date.

Digitalisation of Current Processes

Stakeholder Coordination

  • Acting as a point of contact for internal and external stakeholders.
  • Supporting communication across teams and departments.
  • Coordinating meetings, events, and training sessions.
  • Escalating issues to appropriate managers when necessary.

Typical Skills Required

  • Strong organisational and planning skills.
  • Excellent communication skills.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook).
  • Attention to detail and accuracy.
  • Ability to manage multiple priorities.

Reception

  • Acting as the first point of contact for visitors, clients, and colleagues.
  • Greeting visitors and managing the sign-in/sign-out process.
  • Answering and directing incoming telephone calls and email enquiries.
  • Managing reception and maintaining a professional front-of-house environment.
  • Handling incoming and outgoing post, deliveries, and couriers.
  • Coordinating visitor passes and meeting room bookings.
  • Ensuring meeting rooms are prepared and equipped for visitors and business meetings.
  • Supporting office facilities management, including ordering refreshments and office supplies.
  • Liaising with contractors, suppliers, and building management as required.
