Business Operations Coordinator (Maternity Cover)
Type: Full Time Fixed Term for 14 months (potential to develop into full-time position)
Start Date: Early November
Location: Hybrid Working - primarily remote, with in-person team days in London approximately once per month.
Salary: £30k - £35k depending on experience
Holidays: 25 days annual leave plus public holidays.

Role Overview:
The Business Operations Coordinator will support the day-to-day running of Toro's business operations by providing administrative, operational and coordination support across finance, compliance, people operations and executive administration.
Acting as a central point of coordination across the business, the role will help ensure operational processes run efficiently while also providing diary management and administrative support to the CEO and senior leadership team.
This fixed-term maternity cover role has the potential to become a permanent position as the business continues to grow and operational requirements evolve.
Key Responsibilities:
Finance Administration
- Process supplier invoices and expenses through Xero
- Support monthly payroll administration
- Assist with accounts payable and receivable
- Maintain financial records and documentation
- Support financial reporting and data gathering
- Assist with project administration within Xero Projects
- Liaise with external accountants when required

People Administration
- Coordinate recruitment activities and interviews
- Support onboarding and offboarding processes
- Maintain employee records within BambooHR
- Assist with annual leave and absence administration
- Support performance review administration
- Coordinate employee training records
Business Operations Administration
- Coordinate company meetings and activities
- Maintain company records and documentation
- Support internal communications
- Assist Directors with operational administration
- Coordinate training and development activities
- Provide general business support across teams
- Travel bookings & management
Executive Support
- Provide diary management and scheduling support for the CEO.
- Coordinate meetings, travel and appointments for the senior leadership team.
- Assist with meeting preparation, agendas and presentation materials.
- Support Leadership Team administration.
- Coordinate follow-up actions from meetings.
- Provide general executive administrative support as required.

Supplier, Client & Compliance Administration
- Coordinate supplier onboarding and due diligence processes
- Conduct client due diligence and background checks
- Maintain supplier and client records
- Manage contract, NDA and compliance documentation
- Track certification, insurance and supplier compliance requirements
- Support internal governance and compliance activities
Skills & Experience
Essential
- Previous administration, office management or operations experience
- Strong organisational and coordination skills
- Excellent attention to detail
- Experience using Microsoft Copilot to support administration, research, documentation and reporting
- Confident using Microsoft 365 applications including Teams, SharePoint, Outlook and Excel
- Ability to manage multiple priorities
- Strong written and verbal communication skills
Desirable
- Experience using Xero
- Experience using HR systems such as BambooHR
- Experience within a professional services environment
- Basic understanding of finance administration processes
- Experience supporting senior leaders in a fast-paced environment.
- Strong diary management and meeting coordination skills.
