Description

We're looking for a hands-on Business Operations Coordinator to support the day-to-day running of Made Tech's offices, compliance, IT and business systems.

This role keeps the machinery of Made Tech running: triaging operational queries, running our offices, helping us maintain critical quality and security certifications; and running key business processes.

It's a broad remit working with stakeholders around the business on the core processes that keep over 500 colleagues productive across our office sites and client assignments.


Key Responsibilities

  • Facilities & Office Management

    • Own the day-to-day running of our office facilities (visiting all offices regularly, London once a week)
    • Manage event logistics, visitor access, and building/landlord liaison
    • Support health and safety compliance across our sites
  • Compliance and Assurance

    • Support the Cyber Essential and Cyber Essentials+ certification process
    • Support ISO certifications and internal audit preparation
    • Coordinate Business Continuity Testing
    • Coordinate compliance tracking, training coordination and policy documentation
  • Security Clearance

    • Process security clearance applications, transfers, renewals and shares
    • Maintain the tracking register and ensure annual reviews are completed
    • Be the first point of contact for clearance status and queries
  • IT Partner and Business Systems Support

    • Act as the link between colleagues and our IT support partners: manage ticket flow, chase resolution and escalate service issues
    • Support business systems administration and SaaS license tracking
  • Client Satisfaction and Social Value

    • Work with our account teams to run our annual client satisfaction (CSAT) programme: scheduling, coordinating, chasing completion, collating results and producing the reporting
    • Collate and report our social value and environmental data
  • Operational Support

    • One team: collaborate with colleagues in the Operations team and across Made Tech to build an inclusive environment and a strong feedback culture, supporting others and actively participating in team meetings
    • Triage point: act as the central point for inbound business operations questions, solving problems or escalating them to the wider team as needed
    • Improvement: find opportunities to drive continuous improvement and find efficiencies within our processes including through greater automation and AI

Skills, Knowledge & Expertise

Essential

  • Excellent customer service, communication and interpersonal skills
  • Ability to analyse data and produce a clear report someone can act on
  • Strong organisational skills and ability to prioritise - you can hold several competing priorities and know which one moves first
  • Real care about accuracy in records, registers and evidence, and closing things out
  • A pragmatic, solution-focused approach, and calm under pressure
  • Discretion with confidential and personal information
  • Comfort learning new systems and processes quickly
  • A collaborative team player who takes ownership of their work
  • Eligibility for UK security clearance

Desirable

  • Experience in a compliance, facilities, business operations or office management role
  • Public sector or professional services experience

Application Information

An increasing number of our customers are specifying a minimum of SC (security check) clearance in order to work on their projects. As a result, we're looking for all successful candidates for this role to have eligibility.

Eligibility for SC requires 5 years' continuous UK residency and 5 year' employment history (or back to full-time education). Please note that if at any point during the interview process it is apparent that you may not be eligible for SC, we won't be able to progress your application and we will contact you to let you know why.
