Executive Assistant / Business Operations Manager – Part-Time
Girls I Rate is looking for a highly organised, proactive and reliable Executive Assistant / Business Operations Manager to support our Founder, Directors and wider team.
This is a hands-on role for someone who is naturally organised, works at pace and is always thinking ahead. You’ll act as the operational glue between the Directors and team — keeping communication flowing, deadlines moving and ensuring actions are followed through without the need for repeated chasing.
Key Responsibilities
- Support the Founder and Directors with day-to-day business operations and administration
- Coordinate communication and actions between Directors, team members, freelancers and external contacts
- Track deadlines, deliverables and outstanding actions, proactively following up where required
- Ensure the team remains on schedule and Directors are kept informed of progress, delays and issues
- Manage correspondence, documentation, filing and general business administration
- Maintain organised digital filing systems, records and HubSpot CRM
- Help coordinate meetings, diaries, follow-ups and priorities
- Prepare and update documents, trackers, reports and internal information
- Identify gaps, anticipate what needs to happen next and help keep the business running efficiently
- Use AI and digital tools to improve systems, organisation and productivity

You’ll Need To Be
- Exceptionally organised and detail-focused
- Reliable, accountable and comfortable taking ownership
- Proactive and forward-thinking — not someone who waits to be chased
- Confident managing multiple priorities and deadlines
- A strong written and verbal communicator
- Comfortable working independently in a fast-paced environment
- Confident following up with people and holding actions to agreed timelines
- Solutions-focused with strong administrative and operational instincts
- Knowledgeable about the music industry and not-for-profit/CIC landscape, with an understanding of how small, purpose-led organisations and creative teams operate

Essential Digital Skills
You must be highly proficient in:
- HubSpot CRM
- Google Workspace — Docs, Sheets, Drive and Calendar
- Microsoft Office
- Dropbox
- Canva
- Digital filing, trackers and collaborative working tools
Working Pattern
Part-time — minimum 10 hours per week.
Must be available on Mondays, with regular availability between 9:00am–1:00pm, Monday to Friday.
This role would suit someone with experience across Executive Assistance, Business Operations, Office Management, Project Coordination or Team Administration, ideally within the music, creative, charity, not-for-profit or CIC sectors.
