Our App is the first in healthcare to bridge the communication gap between frontline clinical staff, operational departments, and external suppliers. Our SaaS solution acts as a central hub where equipment or building issues are reported and triaged instantly. MediShout extends its reach beyond hospital walls, integrating with external suppliers to streamline fragmented processes, ensuring data flows seamlessly between those who use healthcare assets and services, and those who maintain or provide them.

MediShout is poised for rapid global expansion and is seeking a Business Operations Manager to drive efficiency by collaborating with executive leadership and translating specialist guidance into actionable internal processes.
The Role
You'll support the day-to-day running of our operations across three main areas: Business Operations, People & HR Operations, and Data Governance, overseeing the maintenance of our ISO 27001:2022 certified Information Security Management System (ISMS).
This is a broad, hands-on role for someone energised by structure, quality, and getting things done in a fast-moving, regulated environment. You'll report to the Vice President of Operations and work with the C-Suite, Customer Success and Product teams to support operational planning, project delivery, company administration and internal coordination.
The role is diverse but it is not intended to replace specialist data protection, InfoSec, legal, HR or financial advisors. Instead, the Business Operations Manager will be responsible for managing these relationships and coordinating the internal execution to keep the company secure, compliant, and operational.
This role covers a period of maternity leave (12-18 months), offering immediate exposure across a variety of disciplines. As the business continues to scale, there is scope for the role to develop into a permanent position.

Responsibilities
Data Governance
- Partner with external advisors: Manage relationships with our external Data Protection Officer (DPO) and virtual Chief Information Security Officer (vCISO) to align on compliance and implement internal processes.
- Maintain security standards: Own the Information Security Management System (ISMS), ensuring the maintenance of policies, registers, and control evidence.
- Drive governance activity: Coordinate internal and external audits, management reviews, security training, access management, and supplier security checks.
- Support compliance documentation: Assist with the development of Data Protection Impact Assessments (DPIAs), Data Processing Agreements (DPAs), and contracts.
- Lead key submissions: Collaborate with the Product team to complete annual NHS DSPT and Cyber Essentials accreditations.
People & HR Operations
- Manage employee lifecycle: Oversee onboarding, offboarding, right-to-work checks, equipment distribution, and HRIS administration.
- Maintain HR processes: Manage performance review cycles and work with external counsel to maintain a suite of compliant HR policy documents.
- Serve as the first point of contact: Resolve day-to-day HR queries, escalating complex issues to the VP of Operations.
- Support operations & hiring: Assist with payroll, expense claims, recruitment coordination, and scalable HR process improvements.
Business Operations
- Oversee operations & systems: Manage project delivery, system administration, process documentation, and internal team communications.
- Manage vendors: Handle procurement and supplier relationships.
- Track key metrics: Build and maintain operational reporting dashboards.
- Support sales & onboarding: Work with the Business Development team to complete compliance requirements for new customer onboarding.
Experience & Characteristics
Essential experience
- Proven operations experience in a SaaS, healthtech, or regulated environment
- Cross-department project management experience, working collaboratively with executive leaders and use of project management tools
- Experience working with external consultants (DPOs, vCISOs, HR/Legal, auditors) and translating their recommendations into internal team processes
- Working knowledge of the UK and EU GDPR (enough to coordinate and operationalise)
- Experience assisting with external audit preparations (ISO 27001 or other internationally recognised standards)
- Experience maintaining a Document Management System

Desirable experience
- Experience working within a healthcare environment
- Startup to Scale-up experience with a build-it-as-you-go mindset
- End-to-end HR/People Management experience
- Prior experience dealing specifically with UK NHS compliance standards
- Direct experience maintaining an Information Security Management System (ISMS) aligned with ISO 27001:2022

Salary, Benefits & Specifics
- £55-60k (depending on experience), with annual salary reviews
