Business Operations Manager
Windsor, Berkshire
£35,000 - £45,000 + Benefits
Are you an experienced Office Manager, Operations Manager or senior business support professional who knows how to bring structure, control and calm to a busy, growing company?
This is an excellent opportunity to become the organisational backbone of an ambitious specialist contractor as it expands its commercial operations. Working closely with the Director, you will take ownership of the company-wide schedule, coordinate multiple field-based teams and introduce the systems and processes needed to support continued growth.
This is not a traditional administration role, nor is it an opportunity for someone who needs to be given a task list. The business is looking for an experienced, self-directed all-rounder who can assess how things are working, identify where improvements are needed and take the lead in putting them into practice.
Your central responsibility will be to own the works schedule. With several teams operating across different projects and priorities frequently changing, you will ensure that jobs, people and resources are coordinated effectively. When plans move, you will rebuild the schedule, communicate confidently with everyone affected and make sure no client or team member is left uncertain about what is happening.
Alongside scheduling, you will oversee a varied mix of operational, financial and commercial support. This will include invoicing, payment tracking, client communication, project documentation, meeting coordination and direct support to the Director. No two days will be quite the same, making this an ideal role for someone who enjoys variety and is comfortable working across every area of a smaller, owner-managed business.

Key Responsibilities
- Taking full ownership of the company-wide diary, works programme and team schedule
- Maintaining a clear forward plan and identifying potential clashes before they become problems
- Rescheduling projects when commercial priorities change and communicating updates promptly to clients, employees, subcontractors and suppliers
- Coordinating several field-based teams across multiple domestic and commercial projects
- Acting as the principal client contact from the point of sale through to project completion
- Producing invoices, monitoring payments and professionally chasing outstanding balances
- Coordinating commercial invoicing, CIS deadlines, timesheets and payment information
- Establishing an effective system for capturing and managing receipts, expenses and purchase documentation
- Ensuring site inductions, subcontractor information and project paperwork are completed promptly
- Gathering supplier costs and supporting the preparation of quotations and commercial meetings
- Booking and confirming meetings, following up enquiries and maintaining a straightforward sales pipeline
- Organising sensitive legal and commercial documents with complete discretion
- Reviewing existing processes and introducing practical systems for scheduling, client tracking, financial administration and general operations
- Supporting the implementation and ongoing use of CRM, accounting and other business software
Skills & Experience
- Substantial experience in a broad operations, office management or senior business support role, ideally within a smaller or growing company
- A proven track record of introducing systems and processes that have improved business organisation and efficiency
- Exceptional organisational skills, with experience managing complex and frequently changing schedules
- The confidence to make decisions, take ownership and work independently without waiting for detailed instructions
- Strong interpersonal and communication skills, with the ability to challenge constructively and influence colleagues
- The confidence to handle difficult client conversations professionally while maintaining positive relationships
- Good numerical skills and experience supporting invoicing, payments or other financial administration
- A proactive, solutions-focused approach and the ability to bring structure to a fast-moving owner-managed business
- Experience within construction, trades, property services or another project-based contracting environment would be advantageous but is not essential
- Knowledge of CIS, site inductions or contractor documentation would also be beneficial but is not required
