About Katalysys

Katalysys is a growing specialist consulting firm providing advisory and technology solutions to the financial services sector. As we continue to expand, we are seeking a highly organised and proactive Operations Specialist to support the efficient day-to-day running of the business and help drive operational excellence across multiple functions.

This is a varied and hands-on role that combines operations management, project administration, HR co-ordination, business support, marketing assistance, and internal event management. The successful candidate will play a central role in ensuring smooth internal operations, supporting client engagement processes, maintaining key business systems, and contributing to the overall growth and professionalism of the business.

This opportunity is ideal for someone who enjoys variety, takes ownership of responsibilities, and thrives within a fast-paced and collaborative environment.

Key Responsibilities

Project and Operational Support

  • Prepare proposal packs and engagement letters
  • Manage and maintain Zoho Projects, including project status tracking and timesheet administration
  • Manage and maintain SharePoint client and internal folders
  • Co-ordinate initial project setup activities, including project folders, access permissions, and client data room setup
  • Support project closure activities and ensure relevant invoicing processes are completed
  • Maintain proposal, client, project, and deliverable traceability records
  • Assist with invoice follow-up and overdue management processes
  • Assist in the preparation of month-end operational reports

CRM, Marketing and Business Development Support

  • Maintain and update SalesForce records and client information
  • Support marketing and sales campaigns
  • Assist with webinar administration and external event documentation
  • Support the management of the company LinkedIn page and website content
  • Liaise and co-ordinate with external designers and marketing providers for brochures, artwork, printing, and promotional materials

HR and Recruitment Administration

  • Maintain HR, payroll, supplier and recruitment records
  • Manage leave and HR administration through the BrightHR portal
  • Support recruitment initiatives, including graduate applications, interview scheduling, candidate communications, and conditional offer preparation
  • Assist with employee onboarding and exit processes

Internal Co-ordination and Events

  • Schedule and co-ordinate internal team meetings
  • Arrange client meetings and meeting room bookings
  • Organise employee engagement activities, including birthdays, work anniversaries, and team-building events
  • Support the co-ordination of external events, webinars, roundtables, networking events, and off-site activities
  • Assist with seasonal communications and company initiatives

About You

The ideal candidate will be a highly organised, self-motivated, and dependable individual with a proactive and pragmatic approach to work. You will be comfortable managing multiple priorities simultaneously while maintaining excellent attention to detail and professionalism. You will possess strong planning and organisational skills, excellent time management capabilities, and the ability to work effectively under pressure. The role requires someone who can work confidently both independently and collaboratively within a team environment. The successful candidate will demonstrate the highest standards of professional conduct and integrity, together with strong interpersonal and communication skills and a positive, solutions-oriented attitude.

Desired Skills and Experience

  • Demonstrable relevant experience in operations, business support, office management, project co-ordination, or administration within a professional services or consulting business
  • Exceptional expertise in working with business systems and use of technology platforms for streamlining operations
  • Strong Microsoft Office skills, especially Excel, Word and Powerpoint
  • Experience supporting marketing campaigns, events, or business development initiatives would be advantageous
  • Experience using CRM and project management systems such as SalesForce, Zoho Projects, or similar platforms
  • Familiarity with SharePoint, Finance and HR administration systems
  • A degree (in any subject) is desirable. Equivalent professional experience in an operational role is highly valued
