Job Description
Position: Business Projects Coordinator - CEO Office
Location: London Office (Holborn) In-office role (not remote)
Schedule: Full-time (Mon Fri, 8:00 am to 4:30 pm)
Salary: £35,000 - £40,000 (depending on experience)

About The Role
You will work closely with the CEO and key stakeholders to turn business priorities into clear, structured and actionable plans. You will help coordinate projects from initial scope through to completion, ensuring everyone understands their responsibilities, deadlines and deliverables.
You will be responsible for bringing visibility, structure and accountability to multiple initiatives at the same time — tracking progress, identifying risks, following up on actions and ensuring projects continue to move forward.
This is an ideal opportunity for an all-rounder who enjoys working across different areas of a business, is comfortable getting involved in whatever is needed, and wants to gain broad exposure to how a fast-growing company operates.
Key Responsibilities
- CEO Office Coordination: Support the CEO in coordinating company-wide projects, priorities and strategic initiatives across departments.
- Project Planning: Help define project scope, objectives, deliverables, timelines, key milestones and ownership.
- Stakeholder Coordination: Work with internal teams, contractors, suppliers, consultants and external stakeholders to ensure projects progress effectively.
- Progress Tracking: Maintain clear project trackers, action plans and status updates, ensuring deadlines and responsibilities are visible.
- Follow-up & Accountability: Proactively follow up with stakeholders, identify outstanding actions and escalate delays, risks or issues to the CEO.
- Cross-functional Support: Coordinate initiatives across Commercial, Marketing, Property, Facilities, Retail, HR and other business functions.
- Reporting & Visibility: Prepare clear updates for the CEO, helping visualise project progress, priorities, risks, dependencies and outstanding decisions.
- Problem Solving: Identify gaps, anticipate potential issues and help coordinate practical solutions to keep projects moving.
- Documentation: Maintain organised project documentation, meeting notes, action logs and relevant supporting materials.
- Operational Support: Assist with specific projects, site visits, meetings and business initiatives as required by the CEO.

- Experience in project coordination, business operations, administration, or a similar role.
- Strong organisational skills and the ability to manage multiple projects and priorities simultaneously.
- Excellent communication and stakeholder management skills.
- Comfortable working with senior leadership and coordinating across different departments.
- Able to break down complex projects into clear actions, deadlines and deliverables.
- Strong attention to detail, follow-through and accountability.
- Confident identifying problems, asking questions and escalating issues when necessary.
- Adaptable, resourceful and willing to get involved in different areas of the business.
- Comfortable working in a fast-paced, growing and constantly evolving company.
- Proficient in Microsoft Office / Google Workspace and project tracking tools.
