About the Role
The Business Services Administrator provides administrative support across several business functions, including Compliance (UK & Europe), Permits, Facilities and Procurement.
The role is responsible for maintaining accurate records, processing documentation, supporting departmental processes, responding to internal and external enquiries, and ensuring information is managed efficiently and in accordance with company procedures.
Working closely with colleagues across various departments, suppliers, contractors and external organisations, the Business Services Administrator supports the effective delivery of key business service functions and contributes to the smooth operation of business activities across the organisation.
What Success Looks Like
Success in this role means delivering accurate, timely and professional administrative support across multiple business functions while maintaining high standards of compliance, organisation and customer service.
You will build strong relationships with internal stakeholders and external partners, ensure records and documentation remain accurate and up to date, proactively manage workloads, and support the efficient running of Compliance, Permits, Procurement and Facilities activities.
Core Responsibilities
General Business Services Administration
- Provide administrative support across Compliance, Permits, Facilities and Procurement functions, ensuring activities are completed accurately and within required timescales.
- Communicate with suppliers, contractors, service providers and internal stakeholders via telephone, email and face-to-face interactions, responding to enquiries professionally and promptly.
- Maintain accurate records, databases, systems and documentation.
- Monitor departmental inboxes, work queues and requests, responding to enquiries or directing them appropriately.
- Prepare, process and maintain business documentation, reports and records.
- Develop and maintain effective working relationships with internal stakeholders and external partners.
- Support departmental projects, process improvements and business initiatives.
- Ensure all activities are completed in line with company policies, procedures and quality standards.
- Meet departmental KPI, SLA and quality requirements.
- Participate in training and development activities as required.
- Undertake any other duties reasonably required within the scope of the role.

Compliance (UK & Europe)
- Support the administration of compliance activities, ensuring records, systems and documentation are maintained accurately.
- Assist with supplier onboarding, document validation and ongoing compliance monitoring.
- Identify and escalate non-compliant, incomplete or high-risk matters where appropriate.
Permits
- Support the administration of permit applications, renewals and associated documentation.
- Maintain accurate permit records and monitor expiry dates to support business compliance requirements.
Procurement
- Support supplier administration and procurement processes, ensuring all records and documentation are maintained accurately and efficiently.
Facilities
- Support the day-to-day administration of facilities-related activities, including logging requests, maintaining records and liaising with colleagues, contractors and service providers.
- Receive, monitor and escalate facilities-related queries, issues and maintenance requests, ensuring timely resolution and effective communication with stakeholders.
About You
You are a highly organised and detail-focused administrator who thrives in a fast-paced environment and enjoys supporting a variety of business functions. You are confident managing multiple priorities, communicating with stakeholders at all levels and ensuring information is managed accurately and efficiently.
You take ownership of your work, demonstrate a proactive approach to problem-solving and are comfortable working independently while also contributing as part of a collaborative team.
Your Expertise
Essential
- Previous experience in an administrative or business support role.
- Excellent organisational skills with the ability to manage multiple tasks, priorities and deadlines.
- Strong attention to detail.
- Proficiency in Microsoft Office applications.
- Experience maintaining databases, records management systems or business software.
- Strong verbal and written communication skills.
- Ability to build and maintain effective working relationships with internal and external stakeholders.
- Ability to work independently and collaboratively within a team environment.
- Strong administrative and document management skills.
- Ability to handle confidential and sensitive information appropriately.
- Good problem-solving skills with the ability to identify issues and escalate when necessary.
- Ability to adapt to changing priorities and support multiple business functions.

Desirable
- Experience supporting compliance, permits, procurement, facilities or other business support functions.
- Experience working within a regulated or process-driven environment.
- Experience of supplier, contractor or third-party administration.
- Experience producing reports and maintaining management information.
- Understanding of document validation, record-keeping and data quality principles.
