Business Services Officer – 3 Month Contract
Location: 41 Kenmore Road, Industrial Park, Wakefield, West Yorkshire, WF2 0XE
Rate: £17.77 per hour (Umbrella)
Contract: 3 Month Contract
Hours: 37 Hours Per Week
Pay: Bi-weekly
Summary
YPO is in search of a proactive and detail-oriented Business Services Officer to join our team on a temporary basis. This role is crucial for providing comprehensive administrative support across Business Services and Committee Services. The position involves managing YPO's company car and lease vehicle schemes, along with offering general business support such as organizing travel, handling purchase orders, managing meetings, maintaining records, and assisting senior leadership. The ideal candidate will possess exceptional organizational skills, a keen eye for detail, and the ability to juggle multiple tasks efficiently within a collaborative team setting.
Responsibilities
Fleet & Vehicle Administration
- Oversee the administration of YPO's company car and lease vehicle schemes.
- Coordinate the ordering and allocation of vehicles.
- Ensure vehicle records and documentation are accurately maintained.
- Manage:
- Insurance documentation
- Service schedules
- Driver training records
- Accident reports
- Fleet compliance requirements
- Communicate with suppliers, leasing companies, and internal stakeholders.

Business Support
- Organize and manage business travel arrangements.
- Process and raise purchase orders.
- Assist with meeting administration and coordination.
- Maintain precise records and filing systems.
- Aid in document preparation and distribution.
- Contribute to process improvements and service efficiency enhancements.
Committee & Leadership Support
- Provide administrative assistance to Committee Services.
- Support diary management for the Senior Leadership Team.
- Arrange meetings and prepare necessary documentation.
- Record meeting actions and ensure follow-up tasks are completed.
- Collaborate with officers, elected members, and key stakeholders.
Stakeholder Management
- Develop effective working relationships with:
- Internal colleagues
- Senior Managers
- Suppliers
- Elected Members
- External Stakeholders
- Address inquiries professionally and promptly.
Essential Requirements
- Proven experience in administrative or business support roles.
- Strong organizational and time management capabilities.
- Exceptional attention to detail and record-keeping skills.
- Experience in maintaining accurate records and databases.
- Excellent communication and interpersonal skills.
- Ability to handle multiple priorities and meet deadlines.
- Proficient in IT, including Microsoft Office applications.
- Experience in engaging with internal and external stakeholders.
- Ability to work collaboratively within a team.

Desirable
- Experience in managing vehicle, fleet, or lease schemes.
- Experience supporting senior managers or leadership teams.
- Familiarity with committee administration.
- Experience in raising purchase orders and processing invoices.
- Background in public sector or local government roles.
