About The Role

Balfour Beatty is looking for a Business Support Administrator to join our UKCS Living Places business, based in Pode Hole, Spalding.

Working as part of the Lincolnshire project team, you will help maintain the smooth day-to-day operation of the project office. You will provide administrative and coordination support to local managers, site agents and supervisory teams, helping to ensure that business and project requirements are delivered efficiently.

This varied role includes responsibility for project record-keeping, document control, ordering materials and communicating with colleagues, suppliers and other stakeholders.

What you'll be doing

As a Business Support Administrator, Your Responsibilities Will Include

  • Maintaining project records and using company and client document management systems effectively
  • Supporting the timely submission and transmission of project documentation
  • Quality-checking documents to ensure they meet the required contractual format
  • Preparing, typing, compiling, photocopying and scanning documents
  • Processing purchase requisitions and obtaining material quotations
  • Coordinating deliveries to support project activities
  • Arranging tarmac and concrete deliveries and collections
  • Organising skip and waste exchanges or collections
  • Coding and submitting tickets to the site support team for processing
  • Collating and submitting payroll timesheets
  • Maintaining holiday and sickness records
  • Completing plant on-hire and off-hire forms
  • Supporting the administration of safety, health and environment statistics
  • Taking and preparing meeting minutes
  • Monitoring and collating records for toolbox talks and safety audits
  • Building positive working relationships across the wider project team
  • Promoting and maintaining Balfour Beatty’s values
  • Completing other administrative duties as required

Who we're looking for

We’re Looking For Someone Who Has

  • Previous document management experience within a client-facing technical or project environment
  • A good understanding of document management systems
  • Strong administrative and organisational skills
  • Proficiency in Microsoft Office, including Excel, Word and PowerPoint
  • The ability to create, maintain and operate databases
  • Strong written and verbal communication skills, with the confidence to communicate with people at all levels
  • A collaborative approach and the ability to work effectively with colleagues, clients and other stakeholders
  • A customer-focused and user-friendly approach to document management
  • The ability to work under pressure and meet submission deadlines
  • Strong attention to detail and a commitment to producing accurate, high-quality work

Previous experience of working on construction projects, particularly within a civil engineering environment, would be advantageous.
