Job Description

The Business Support Administrator provides essential administrative, coordination, and operational support within a fast-paced global engineering and operations environment. Employed by Sygna and seconded into a key client team, the role plays a vital part in ensuring smooth day-to-day operations through effective organization, communication, and reporting. Operating as a trusted point of coordination across a complex international stakeholder landscape, the role upholds Sygna’s professional standards while supporting engineering and operational teams to deliver efficiently and consistently.

Key Outline Duties

Administrative & Operational Support

  • Provides high-quality daily administrative support, enabling engineering and operational teams to focus on core delivery activities.
  • Manages access list of Master Service Providers including their onboarding/coordination of access to systems and sites.
  • Manages and organises team calendars, meetings, and
  • Supports team with incoming and outgoing correspondence, including emails, documentation, and general
  • Supports team with preparation of reports, presentations, and internal
  • Maintains accurate digital and physical filing
  • Ensures sensitive and confidential information is handled

Team Coordination

  • Acts as a central coordination point for meetings, onboarding, and team
  • Supports team members with administrative tasks such as travel and expenses to improve operational
  • Coordinates logistics for meetings, training sessions, and team
  • Takes accurate meeting minutes and distributes actions in a timely
  • Supports onboarding of new team members, including access setup and preparation of
  • Acts as a first point of contact for internal and external

Data, Reporting & Process Management

  • Maintains and updates databases, spreadsheets, trackers, and internal
  • Compiles and distributes regular reports and status
  • Tracks actions, deadlines, and deliverables on behalf of the
  • Drafts and circulates internal communications and team
  • Liaise with other departments, suppliers, and external stakeholders as
  • Supports transparency, accountability, and operational efficiency through accurate data

Professional Representation

  • Represents Sygna within the client environment with professionalism, reliability, and
  • Builds and maintains strong working relationships across internal and external
  • Upholds Sygna’s values and contributes positively to a collaborative, high-performing team

Job Requirements

  • Required to be in the client’s office located in Canary Wharf, 4 days a week.
  • Strong written and verbal communication skills
  • Great organisational skills with the ability to manage multiple tasks simultaneously
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • High attention to detail and accuracy
  • Ability to handle sensitive and confidential information with discretion
  • A positive, team-first attitude and willingness to support others
  • Reliable, punctual, and professional demeanour
  • GCSEs (or equivalent) in English and Maths at Grade C/4 or above — Essential

  • Previous experience in an administrative or office support role
  • Experience with document management systems or CRM platforms
  • Strong attention to detail, creative outlook and values processes and
  • A-Levels, BTEC, or equivalent Level 3 qualification
