Job Description

Murray Recruitment are recruiting a Service Administrator for our client based in Glasgow.

This is an excellent opportunity to join a growing and well-established organisation operating within a specialist technical services environment. The successful candidate will support customers, engineers, and operational teams across the UK, helping to ensure services are coordinated efficiently and delivered to a high standard.

Role Overview

Working as part of the Business Support team, the Service Administrator will play an important role in coordinating reactive and planned engineering works while providing high-quality administrative and customer service support.

The role would suit a proactive, organised, and customer-focused individual who is comfortable managing multiple priorities within a busy, fast-paced environment.

Key Responsibilities

  • Respond to customer, engineer, and subcontractor enquiries by telephone and email, ensuring queries are handled promptly and professionally.
  • Coordinate engineer and subcontractor attendance for reactive callouts and breakdown works in line with customer requirements.
  • Allocate and issue tasks to mobile service engineers using the IFS system.
  • Raise purchase orders for materials, plant hire, and subcontractor services.
  • Identify and arrange materials, subcontractor support, and plant hire for planned maintenance works.
  • Prepare quotations and annual maintenance contracts using company templates.
  • Collate and verify engineer timesheets for payroll and job-costing purposes.
  • Maintain accurate and up-to-date records across company systems, including IFS, PeopleHR, and Assure H&S.
  • Order stationery, PPE, and general office supplies.
  • Provide wider administrative support, including scanning, mail handling, travel bookings, and document management.
  • Liaise with internal departments and external stakeholders to support the smooth delivery of service operations.

Skills & Experience

  • Previous experience within an administrative, service coordination, or business support role.
  • Experience within a field services, engineering, facilities management, or technical services environment would be advantageous.
  • Strong working knowledge of Microsoft Word and Excel.
  • Excellent organisational and time-management skills.
  • Ability to prioritise workloads and meet deadlines within a fast-moving environment.
  • Confident and professional communication skills, with the ability to liaise with stakeholders at all levels.
  • High level of accuracy and attention to detail.
  • Proactive, adaptable, and customer-focused approach.
  • Ability to identify and respond effectively to the needs of internal and external stakeholders.
  • Comfortable learning and using internal systems and processes.

Offering

  • Salary of up to £30,000 per annum, depending on experience.
  • Monday to Thursday, 8.30am to 5.00pm.
  • Friday, 8.30am to 4.00pm.
  • Annual performance-related bonus scheme.
