Job Description

Administrator

Location: Edinburgh

Full-Time | Permanent

We are looking for an organised and proactive Administrator to join a busy structural and civil engineering consultancy. This is an excellent opportunity for someone with at least two years' administration experience who enjoys working in a fast-paced professional environment and supporting a variety of teams.

The Role

As a Key Member Of The Business Support Team, You'll Provide Administrative Support Across The Business, Helping To Ensure The Smooth Day-to-day Running Of Projects And The Office. Working Closely With Directors, Engineers And Project Teams, Your Responsibilities Will Include:

  • Acting as the first point of contact for visitors, clients and suppliers.
  • Managing incoming calls, emails and general enquiries.
  • Coordinating meeting rooms, hospitality and office facilities.
  • Setting up and maintaining project records and documentation.
  • Assisting with project administration, fee tracking and reporting.
  • Preparing and issuing invoices.
  • Supporting tender submissions and document control.
  • Booking travel and accommodation.
  • Ordering office supplies, stationery and PPE.
  • Providing administrative support across departments, including IT, Health & Safety, and Bids & Competitions.
  • Carrying out general office administration and ad hoc duties as required.

About You

To be successful in this role, you'll have:

  • A minimum of two years' administration experience within a professional office environment.
  • Strong Microsoft Office skills, including Word, Excel and Outlook.
  • Excellent organisational and time management skills.
  • Strong communication and customer service abilities.
  • A high level of accuracy and attention to detail.
  • The ability to manage your own workload while working collaboratively within a team.
