The Role
As Evolve Psychology Services continues to grow, we are looking for a friendly, organised, and proactive Business Support Administrator to join our team at The Harlow at Cardale Park. In this varied role, you will support the effective operation of our service through a range of administrative and business support activities, while also providing a professional and welcoming reception service for clients, clinicians, and affiliates who use our clinical space.
You Will Be Responsible For
- Greeting and checking in clients attending private, NHS Right to Choose, or affiliate appointments, in a warm, professional manner.
- Directing clients to the waiting area and ensuring the space is welcoming, tidy, and comfortable.
- General administrative tasks to support the smooth operation of the clinic.
- Updating and maintaining client records and scheduling systems accurately
- Liaising with clinicians for each appointment to confirm client arrivals,
- Liaising with the bookings team if a client does not attend, so appropriate follow-up can be made.
- Arranging tours of the clinic space to affiliates wishing to book therapy rooms.
- Monitoring and supporting use of our online booking system, ensuring affiliates’ room bookings run smoothly.
- Ensuring clinic rooms are set up and ready for appointments.
- Handling general enquiries via phone, email, and in person.
- Ensuring compliance with GDPR, confidentiality, and information governance standards

Qualifications And Experience
- Experience managing appointment bookings, coordinating schedules, or working with diary management systems in a fast-paced administrative environment.
- Experience working in a receptionist, front-of-house, or similar client-facing role.
- Experience of working in a healthcare or clinical environment is desirable.
- A holistic and empathetic approach when interacting with clients and colleagues.
- Excellent communication and interpersonal skills.
- Confident, approachable, and able to create a welcoming environment.
- Organised with strong attention to detail.
- Comfortable using digital systems (experience with online booking systems is desirable).
- Ability to multitask and manage competing priorities in a busy clinic environment.
- Positive, proactive, and collaborative approach.

This is a full-time position, working Monday to Friday, 37.5 hours per week. Due to the requirements of this role, part-time hours will not be considered.
