Reception & Business Support Administrator Location: Newry

Are you highly organised, proactive and someone who takes pride in seeing tasks through from start to finish?

We are recruiting a Reception & Business Support Administrator to join a growing business based in Newry. As the first point of contact for visitors, customers, suppliers and employees, you will create a professional and welcoming experience while providing essential administrative support across the organisation.

This is a varied role supporting departments including HR, Sales, Marketing, Operations and Finance. It would suit someone who enjoys working with people, managing multiple priorities and making sure nothing falls through the cracks.

The Role

You will:

  • Welcome visitors, customers and suppliers in a friendly and professional manner
  • Manage incoming calls, general enquiries, post, deliveries and couriers
  • Coordinate visitor sign-in, meeting room bookings and refreshments
  • Maintain reception, meeting rooms and communal office areas
  • Prepare correspondence, reports, presentations and company documents
  • Maintain accurate records, databases and filing systems
  • Schedule meetings and coordinate diaries when required
  • Order office supplies and consumables
  • Support new starter onboarding, employee documentation and training records
  • Assist with employee engagement activities, events and internal communications
  • Provide administrative support for sales and marketing activity
  • Maintain CRM and customer information
  • Track outstanding actions and follow up with relevant colleagues
  • Coordinate information between departments and provide progress updates
  • Identify opportunities to improve administrative processes and efficiency

Taking Ownership

A key part of this role is taking full ownership of requests. This means receiving a task, completing or coordinating the required action, following up where necessary and confirming the outcome with the original requester. Success will be measured not simply by activity, but by ensuring tasks are completed accurately, communicated clearly and fully closed out.

About You

You will bring:

  • Strong organisational and planning skills
  • Excellent communication and interpersonal abilities
  • High attention to detail and accuracy
  • Confidence using Microsoft Office
  • The ability to work independently and manage competing priorities
  • A professional, friendly and customer-focused approach
  • A proactive mindset and willingness to take ownership

Previous experience in reception, administration or office support would be beneficial. Experience supporting several departments or working within manufacturing, construction or engineering would also be advantageous, but is not essential.
