Part-Time Business Support Assistant C – 3 Month Contract

Location: 82 Rhosddu Road, Wrexham, LL11 2NP
Rate: £17.15 per hour (Umbrella)
Contract: 3 Month Contract
Hours: 22.5 Hours Per Week (Part-Time)
Working Pattern: Monday, Tuesday, and Thursday (some flexibility available)
Pay: Bi-weekly

Summary

Wrexham County Borough Council is on the lookout for a dedicated Business Support Assistant C to deliver essential administrative support, ensuring the smooth operation of our services. This role is ideal for a detail-oriented and proactive individual who thrives in a dynamic office setting, assisting colleagues, customers, and stakeholders while maintaining exceptional customer service and record-keeping standards.

Key Responsibilities

  • Serve as the initial point of contact for both internal and external inquiries.
  • Professionally manage phone calls, emails, visitors, and customer inquiries.
  • Keep precise electronic and manual records.
  • Input, retrieve, and present data for reports and operational needs.
  • Create and manage spreadsheets, databases, and administrative systems.
  • Provide reception coverage as needed.
  • Assist managers and colleagues with various administrative tasks.
  • Efficiently distribute information and correspondence.
  • Oversee filing systems, archiving, and document storage and retrieval.
  • Handle incoming and outgoing mail.
  • Prepare documents, reports, letters, forms, and presentations.
  • Manage office supplies and stationery.
  • Perform financial administration tasks, including:
    • Invoice coding
    • Purchase orders
    • Procurement administration
    • Payment processing
  • Organize meetings and appointments.
  • Arrange travel, accommodation, venues, and refreshments.
  • Accurately record and distribute meeting minutes.
  • Maintain confidential employee and departmental records.
  • Ensure adherence to corporate policies, procedures, and data protection standards.

Essential Requirements

  • Prior experience in administrative or business support roles.
  • Strong customer service and communication skills.
  • Excellent organizational and time-management skills.
  • Experience in maintaining accurate records and databases.
  • Proficiency in IT, including:
    • Microsoft Word
    • Excel
    • Outlook
    • PowerPoint
  • Experience with spreadsheets and data entry.
  • Ability to prioritize tasks and meet deadlines.
  • Experience in organizing meetings and supporting minute-taking.
  • Understanding of confidentiality and data protection principles.
  • Capability to work independently and collaboratively.
