What you’ll do

We are seeking a Business Support Assistant to act as the first line of support for Facilities in our Bristol office, working in our Facilities Team. The role will involve providing an efficient and effective administrative and reception service, including answering switchboard calls, while delivering excellent client service and presenting a professional image of the Firm at all times.

  • Play a key role in building rapport and establishing strong working relationships with both clients and colleagues, often acting as the first point of contact for visitors.
  • Provide comprehensive facilities support, including the day-to-day management and upkeep of meeting rooms and the communal spaces.
  • Ensuring they are consistently tidy and well-stocked, and organising refreshments and catering as required.
  • Be responsible for coordinating with the IT Department and act as a first point of contact for basic IT queries within the office.

The role encompasses:

  • Managing incoming and outgoing post.
  • Supporting general office maintenance.
  • Assisting with the resolution of facilities issues by liaising with internal teams and external contractors.
  • Providing administrative support across the office, including printing, scanning, document formatting, file management, typing dictations, and booking travel where necessary.

Who you are

  • An excellent communicator with strong interpersonal skills, with the ability to build rapport quickly with colleagues, clients, and external contacts.
  • Comfortable acting as the face of the firm’s front of house, you will communicate in a clear, friendly, and approachable manner, and confidently liaise with teams across the business.
  • Self-motivated and adaptable, able to work independently as well as collaboratively within a team.
  • Demonstrate flexibility, responsiveness, and a positive, co-operative approach.

You will:

  • Handle information with discretion and confidentiality, understanding the wider objectives of the firm, and wanting to take initiative to continually develop your knowledge.
  • Gain a strong understanding of the firm’s services to assist with enquiries where appropriate.
  • Have strong administrative and organisational skills, including excellent IT capability and the ability to use systems effectively.
  • Prioritise workloads, manage your time efficiently, and deliver accurate, high-quality work to deadlines, while remaining proactive to the needs of both clients and the business.
