Business Support Assistant

Permanent Full-Time Position (Office Based)

Birmingham Business Park, West Midlands

Vienna Kang Advocates is a niche firm specialising in the defence of serious crime. We are frequently instructed to represent and defend in extremely serious cases, involving some of the most notorious crimes prosecuted in recent times and quite often cases attracting national notoriety.

We pride ourselves on thorough and robust defence case preparation, working hard to formulate novel points to enable us to articulate powerful and compelling submissions on behalf of those whom we represent.

The Position

We are fortunate to benefit from a solid team of talent comprising some of the best Solicitors and Barristers who are eminent within their profession. We are continually expanding and are now seeking to develop that team further by the addition of a Business Support Assistant to provide competent, effective and efficient administrative and business support.

Role Description

The Business Support Assistant is a full-time, on-site role situated at our Principal Office on Birmingham Business Park providing administrative, business and operational support to the firm’s legal and management teams.

Day-to-day responsibilities include managing correspondence, scheduling meetings and Hearings, maintaining case files and databases, and preparing documents and reports. The role involves supporting business administration activities such as data entry, record keeping, and assisting with billing and invoicing processes.

The Business Support Assistant shall also act as a first point of contact for internal and external stakeholders, ensuring effective communication and professional client service. The position requires close collaboration with solicitors and other staff to help ensure efficient office operations and smooth delivery of legal services.

Responsibilities

  • Diary Management
  • Open and create new client files on the case management system
  • Print, maintain and update physical files
  • Administer and deal with telephone calls and messages
  • Communicate and liaise with police officers concerning suspects on police bail and under investigation
  • Communicate and liaise with clients and provide them with updates concerning the progress of their case
  • Maintain and update internal databases and spreadsheets to monitor progress of cases
  • Communicate and liaise with stakeholders within the Criminal Justice System, arrange meetings and video conferences for Solicitors and allocate work accordingly
  • To manage own work allocation, productivity, and quality of work with minimum supervision
  • Assist in the management of the day to day running of all tasks within the department
  • To carry out other ad hoc tasks as required
  • Time Recording chargeable work to client files
  • Billing concluded case files
  • Archiving concluded case files

Requirements

The most suitable candidate would ideally have at least five years previous office administration or business experience in a role that has required a similar skillset. They must be proficient with all Microsoft Office applications, including Word, Excel, and PowerPoint. The successful candidate must be extremely proficient with computers, IT, and technology.

They must be confident, personable and have an excellent telephone manner. They must have confidence in liaising with clients and other outside entities daily, be able to multitask and manage a high volume of workload competently and be able to work under pressure and meet strict deadlines.

Qualifications

  • Candidates should possess strong Administrative Assistance and Business Administration skills, including organizing records, managing schedules, and supporting office processes.
  • Candidates should possess excellent Communication and Interpersonal Skills to interact professionally with clients, colleagues, and external partners.
  • Candidates should possess solid Analytical Skills to handle data, review information accurately, and support problem-solving in day-to-day operations.
  • Proficiency with standard office software (e.g., MS Office suite), basic database or case management systems, and accurate typing skills.
  • Strong attention to detail, time management abilities, and the capacity to handle multiple tasks in a fast-paced professional environment.
  • Previous experience in a legal, professional services, or business support environment is advantageous.
  • A relevant qualification in business administration, law, or a related discipline, or equivalent experience, is beneficial.
