Business Support Consultant
We are a digital innovation company, based in Belfast, seeking a motivated, highly organised Business Support Consultant to play a key role in supporting our day-to-day operations and business activities.
This is a varied, hands-on position that sits at the heart of the organisation, providing administrative, operational, and business support across multiple functions. From coordinating resource tracking and reporting, quality and compliance activities, and employee administration, to preparing high-quality client-facing materials and supporting business initiatives, you will help ensure the smooth and efficient running of the company.
The ideal candidate will thrive in a fast-paced environment, enjoy working across a broad range of responsibilities, and take pride in delivering accurate, high-quality work. You will be a proactive problem-solver who enjoys bringing structure, organisation, and efficiency to everything you do.
Key Responsibilities
Business Support
- Provide proactive day-to-day administrative support across the business, assisting Directors and employees alike by anticipating needs, managing priorities, and ensuring the smooth delivery of operational activities.
- Managing and coordinating calendars
- Managing internal processes and administration to ensure employees have the resources and information they need to succeed.
- Maintain and update internal trackers, registers, and operational records (including policy review log)
- Prepare meeting agendas, take accurate meeting minutes, and track actions through to completion.
- Support onboarding administration for new starters and contractors, including document preparation and system set-up coordination
- Assist with business improvement initiatives, projects, and ad hoc activities as required.
- Support the wider team in delivering client-facing objectives and business commitments.

Resource Tracking and Reporting
- Manage and administer the company-wide timesheet process for all employees and contractors, ensuring submissions are complete, accurate, and received on time
- Chase outstanding submissions, resolve discrepancies, and produce regular summary reports for the Directors on utilisation, absences, and project allocations
- Maintain accurate records of NI bank holidays, leave, and contractor working patterns to ensure timesheet data reflects actual availability and project commitments
- Liaise with the finance function to ensure timesheet data feeds accurately into invoicing and payroll processes
Client Materials & Presentation Support
- Produce and proof-read professionally branded slide decks, reports, and other client-facing materials on behalf of the Directors, ensuring accuracy, consistency with the Sans Souci brand, and high presentation standards throughout
- Format, edit, and version-control documents and presentations, maintaining a well-organised shared filing structure in SharePoint
Essential Skills & Experience
- A minimum of 3 years' experience in an administrative, operations, business support, or coordination role, ideally within a professional services, consulting, technology, or digital environment
- Solid working knowledge of Microsoft 365 suite, including but not limited to Outlook, Word, PowerPoint, Excel, Teams, and SharePoint
- Exceptional attention to detail with strong written communication skills — able to draft, edit, and proofread to a high standard
- Highly organised and self-motivated, with the ability to manage multiple competing priorities and meet deadlines without close supervision
- Comfortable handling timesheet systems or similar workforce tracking tools, with a head for numbers and an eye for discrepancies
- Discrete and professional when handling confidential information, with a clear understanding of data protection obligations
- GCSEs (or equivalent) including English and Mathematics
- A positive, flexible, and proactive approach, with a willingness to support a variety of business activities
- Right to work in Northern Ireland without the need for visa sponsorship

Desirable Skills & Experience
- Previous experience working within a PMO (Project Management Office), project support, or project coordination environment.
- Exposure to compliance, governance, quality assurance, or audit-related administration.
- Familiarity with quality management standards such as ISO 9001, ISO 27001, or similar frameworks.
- Experience supporting consultancy, digital, or technology-led businesses.
- Knowledge of AI-powered productivity tools, such as Microsoft Copilot, Claude, or similar technologies, and an interest in leveraging these tools to improve efficiency and productivity.
