Job Purpose

As a Business Support Coordinating Officer (Grade 5), you will provide administrative and business support to the Development & Investment Team within Building Services. You will play a key role in managing housing asset data, supporting disabled adaptations, maintaining housing databases, coordinating works, and ensuring accurate performance and compliance reporting.

Key Duties/Accountabilities

  • Maintain and update the Housing Asset Management Database (HAMD).
  • Import and validate stock condition data and housing asset information.
  • Manage annual servicing records and asbestos register information.
  • Support the administration of disabled adaptations and housing improvement services.
  • Receive and process enquiries from tenants, leaseholders, and service users.
  • Allocate and monitor works and service requests.
  • Maintain spreadsheets, databases, and specialist software systems.
  • Support the management and monitoring of adaptation projects.
  • Liaise with Occupational Therapists, contractors, tenants, and internal teams.
  • Commission adaptation and improvement works through Building Services.
  • Monitor adaptation budgets and produce management reports.
  • Update and maintain records on Keystone Asset Management systems.
  • Produce reports and performance analysis for management.
  • Carry out customer satisfaction surveys and complaints administration.
  • Ensure compliance with Data Protection requirements and Council procedures.
  • Provide administrative support across Housing Improvement, Adaptations, and Voids services.
  • Support service improvement initiatives and process development.

Essential Experience Required

  • Previous experience in Business Support, Administration, Asset Management, Housing Services, or Property Services.
  • Experience maintaining databases, spreadsheets, and electronic records.
  • Experience producing reports and analysing data.
  • Experience handling customer enquiries and providing administrative support.
  • Experience working with performance data and monitoring systems.
  • Experience coordinating work requests and tracking service delivery.
  • Strong IT skills including Microsoft Office applications.
  • Experience working with housing, property, asset management, or repairs systems would be advantageous.
  • Strong organisational and communication skills.
  • Experience managing sensitive and confidential information.

Essential Qualifications Required

  • Relevant Administration, Business Support, Housing, or Asset Management experience.
  • Right to Work in the UK.

Additional Information to Note

  • Working hours: 37 hours per week.
  • Monday to Thursday: 09:00 – 17:30.
  • Friday: 09:00 – 17:00.
  • Primarily working from home.
  • Occasional office attendance required for meetings.
  • Location: Quarry Road, Wenvoe, Cardiff, CF5 6AA.
  • Online interview via Microsoft Teams.
  • Interview Date: 7th October 2026.
  • Supplier Submission Deadline: 5th October 2026.
  • We work on bi-weekly payment schedule.
