Business Support & Marketing Coordinator
Location: Clifton, Bristol
Salary: £30,000 - £40,000 (depending on experience)
Type: Full-time, Permanent
About Clarity Building Consultancy
Clarity Building Consultancy is a growing Bristol-based firm specialising in commercial building surveying, project management and property consultancy. We help clients make informed decisions about buildings and property, providing clear, practical advice and delivering projects with a hands-on, client-focused approach. As a growing business, we're looking for an organised, proactive and enthusiastic individual to become an integral part of our team. This is a varied role offering the opportunity to support directors, surveyors, clients and the wider business while playing a key role in our continued growth.
The Opportunity
This is far more than a traditional administration role. You'll be at the centre of the business, helping to keep projects moving, supporting our directors, looking after client communications, coordinating office activities and assisting with marketing initiatives. No two days are the same, and you'll have genuine responsibility and autonomy from day one.
Key Responsibilities
Business & Project Support
- Setting up new projects and maintaining project records
- Preparing, formatting and issuing professional reports and documents
- Supporting surveyors with day-to-day project administration
- Managing client correspondence and enquiries
- Maintaining databases, trackers and internal systems
- Coordinating meetings and managing invitations
- Preparing meeting agendas and minutes as required
- Monitoring director action lists and key deadlines

Director & Team Support
- Managing diaries and scheduling appointments
- Coordinating travel arrangements when required
- Acting as a key point of contact for the directors
- Assisting with the efficient running of the office
- Supporting colleagues with administrative tasks and requests
- Handling incoming calls and monitoring shared inboxes
Finance & Commercial Administration
- Raising invoices and supporting monthly billing processes
- Tracking work won and maintaining business development records
- Monitoring WIP and assisting with debtor management
- Supporting monthly project management invoice processes
- Maintaining renewal schedules for memberships and insurances
Marketing & Business Development
- Creating and coordinating LinkedIn content
- Supporting website updates, news articles and project case studies
- Maintaining marketing content libraries
- Tracking website and social media performance
- Assisting with marketing campaigns and business development initiatives
- Supporting client events and networking activities
Office Management
- Coordinating office supplies and facilities
- Liaising with IT support providers to resolve issues
- Supporting B-Corp administration and submissions
- Helping maintain a professional, organised and welcoming workplace environment

About You
We're looking for someone who enjoys taking ownership, solving problems and supporting a busy professional team.
You'll have strong experience in one or more of the following:
- Office Administration
- Executive Assistant / Personal Assistant
- Team Secretary
- Office Manager
- Business Support
- Professional Services Administration
You'll also be:
- Exceptionally organised and detail-oriented
- A confident communicator, both written and verbal
- Proactive and self-motivated
- Able to manage multiple priorities effectively
- Comfortable working independently
- Proficient in Microsoft Office and business systems
- Keen to contribute ideas and improvements
- Friendly, positive and professional
Experience within property, construction, surveying, engineering, architecture, legal or consultancy sectors would be advantageous but is not essential.
