Looking for a flexible part-time opportunity to develop your skills and gain valuable experience at the heart of the Scottish Government?

The Business Management Support Officer role sits within the Communications and Ministerial Support Directorate, supporting the Directorate and Divisional business management function. The team provides essential support services that help colleagues across the Directorate work effectively and ensure key business processes run smoothly.

This varied role offers the opportunity to contribute to a wide range of administrative and business support activities while working with colleagues and stakeholders from across the organisation. The main objective of the role is to support the efficient day-to-day operation of the Directorate, while developing knowledge, skills and experience of business management processes within the wider Scottish Government corporate environment.

This is part time role (3 days per week).

RESPONSIBILITIES

Responsibilities:

  • Support the provision of diary and mailbox Personal Assistant support.
  • Provide support on work activities at directorate and divisional level such as; corporate improvement activities, regular divisional commissions and projects, pool car management, communications division daily tasks and team mailbox support.
  • Support the management of our divisional and directorate recruitment and induction processes.
  • Lead the management of our directorate recruitment mailbox and vacancy review process.
  • Support the delivery of weekly, monthly and ad-hoc meetings, including; preparing and distributing agendas and noting actions and ensuring they are followed up.
  • Provide resilience support to the other A Band colleagues within the Business Management Team across a range of Personal Assistant / administrative / finance duties, you will also assist colleagues across our divisions as required.
  • Ensure that all tasks are carried out to a high standard, managed and handled in line with corporate targets while consistently considering improved ways of working.
  • Liaising with both internal and external stakeholders to ensure that all tasks are completed accurately and on time.
  • You will be supported to develop your knowledge and understanding of the business function within the wider corporate landscape, and you will be given the ongoing support that you need to develop your career path.

Experience:

  • Excellent verbal and written communication skills, with experience providing high-quality administrative support to senior leaders, building strong working relationships with internal and external stakeholders, and collaborating effectively across teams.
  • Excellent administration and organisational skills, with experience working in a fast-paced office environment, proficient use of Outlook, and the ability to adapt to changing demands while effectively prioritising and managing workloads.
