About Equipple
Equipple is a Northern Ireland-based EdTech company. We build parent engagement and school communications software used by schools and multi-academy trusts across the UK and Ireland. We equip teachers to spot what matters, act with speed, and communicate with confidence.
We're a small, fast-moving team at an exciting stage of growth, with a growing customer base and investment behind us.
The role
You'll co-ordinate the administrative, financial and compliance work that keeps the business running day to day, working directly with the founders and close to every decision they make.
It suits someone who thrives on variety, can carry a task through from start to finish without close supervision, and enjoys turning one-off jobs into repeatable processes. You'll inherit some things that already work, some that half work, and some that don't exist yet — and as you get to know the business, you'll take on more of the call on how they run.

You won't be carrying it alone: our accountant handles the VAT returns, our Data Protection Officer holds data protection accountability, and the founders sign off every grant application. You keep the processes running and the records straight.
What we're looking for
Not deep expertise in every area — a highly capable, organised all-rounder who can learn unfamiliar tools quickly and apply them confidently.

Essential
What you'll need from day one
- Exceptionally organised and reliable. Able to plan and prioritise your own workload, manage competing deadlines, and carry tasks through to completion with minimal supervision.
- Comfortable with variety. Able to move between very different tasks without losing accuracy.
- A systems-and-process mindset. Confident learning new software, and turning ad-hoc jobs into repeatable, documented processes.
- Discretion and confidentiality. Able to handle staff records, financial data, contracts and school data appropriately, and apply confidentiality requirements consistently.
- Sound financial literacy. Comfortable with numbers, billing and reporting, and accurate with detail.
- Strong written communication skills. Able to produce clear, accurate and professional communications for a range of audiences.
- Microsoft 365 proficiency. Confident working across the suite day to day.
- Relevant experience in an administrative, operations or business support role — for example as a senior administrator, office or practice manager, or operations coordinator.
Desirable
Useful, but we'll teach it
- HR or payroll administration experience, or a CIPD qualification at any level.
- Bookkeeping or credit control experience.
- Familiarity with any of our tools — Chargebee, Xero, SharePoint administration, HubSpot or a similar CRM.
- Exposure to certifications such as Cyber Essentials or ISO 27001, or to grant and funding applications.
- Experience in SaaS, EdTech, or another B2B or regulated environment.
Working here
- Annual leave. Paid annual leave, including public holidays and our Christmas closedown.
- Flexible. Full time, 9.00am to 5.30pm Monday to Friday, with flexibility on start and finish times by agreement.
- Hybrid. Based at our Titanic Quarter office, with a minimum of three days a week in.
- Pension. Company pension scheme, with auto-enrolment handled from day one.
- Training. Induction and role-relevant training, including any certification or software training the role calls for.
- One thing worth knowing: our year follows the school year. August to October and January to April are our busiest periods, so we ask for as much notice as possible on leave during those months.

Role details
- Reports to. Co-founder & Chief Marketing Officer
- Location. Belfast, Titanic Quarter — hybrid, minimum three days a week in the office
- Hours. Full time, 40 hours per week. 9.00am–5.30pm Monday to Friday, with flexibility on start and finish times
- Contract. Permanent, subject to a six-month probationary period
- Salary. £30,000–£35,000 depending on experience
- Travel. Occasional, by agreement — within Northern Ireland, the Republic of Ireland or Great Britain
- Closing date. Sunday 20th September 2026
