The Opportunity
As a Business Support Specialist, you will play a critical role in supporting the UKI Heart Failure commercial team through event coordination, compliance management, operational support, and stakeholder engagement.
You will work closely with internal teams, healthcare professionals, suppliers, and external partners to ensure educational events, congresses, and business activities are delivered efficiently, professionally, and in full compliance with company policies and industry regulations.
What You'll Do
Event Management & Customer Engagement
- Coordinate educational programs, congresses, customer meetings, and national events aligned to business objectives.
- Manage event logistics including venue selection, accommodation, delegate registration, invitations, and communications.
- Support the planning and execution of Abbott Heart Failure congresses and educational meetings across the UK and Ireland.
- Promote events through digital channels to maximize participation and engagement.
- Act as a professional Abbott representative at events when required.
Operational & Administrative Support
- Provide day-to-day administrative support to the Heart Failure commercial team.
- Organize travel, meeting logistics, calendars, surveys, and operational activities.
- Coordinate bookings and liaise with customers, venues, vendors, and suppliers.
- Maintain accurate records, documentation, and reporting to support business operations.
- Support stakeholder communication and ensure a high level of customer service.

Finance & Budget Coordination
- Assist with budget tracking and financial administration activities.
- Coordinate invoice processing, vendor registration, contract administration, and payment follow-up.
- Manage event-related systems and platforms, including CVENT.
- Support efficient use of resources while maintaining quality and compliance standards.
Compliance & Governance
- Ensure all activities are conducted in accordance with Abbott policies, regulatory requirements, GDPR, and industry guidelines.
- Support Healthcare Professional (HCP) engagements, grants, sponsorships, and contract management processes.
- Maintain compliance documentation, audit-ready records, and approval workflows.
- Partner with Compliance, Privacy, and other internal stakeholders to support governance requirements.
- Coordinate due diligence and screening activities for third-party vendors and partners.
What We're Looking For
Required Skills & Experience
- Previous experience in administration, business support, event coordination, sales support, or a similar role.
- Strong organizational and project coordination skills with excellent attention to detail.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Strong communication and stakeholder management skills.
- Proficiency with Microsoft Office, including Excel, PowerPoint, Outlook, and Word.
- Experience supporting cross-functional teams and working with external partners.
