Business Systems & IT Coordinator
The Business Systems & IT Coordinator is responsible for supporting the day-to-day IT needs of the business, acting as the first point of contact when employees experience issues with accounts, devices, software, systems, networks or IT security. The role provides support across a broad range of areas including service desk activities, user administration, device and network management, software licensing, supplier coordination, cyber security, compliance, documentation and user training. Alongside these operational responsibilities, the role will support the development and improvement of the systems, digital tools and technology used across the business.
Working closely with colleagues across the business and the Senior Leadership Team, the Business Systems & IT Coordinator helps ensure systems remain secure, reliable and fit for purpose. The post holder will work with teams to understand how they operate, identify opportunities to improve processes and support the implementation and adoption of emerging technologies, including AI. As a broad role covering several IT disciplines, it requires someone who is organised, adaptable, passionate about technology and able to manage competing priorities effectively.
Key Responsibilities
- First point of contact for all IT issues raised across the business, including logging, prioritising and resolving first line support requests and keeping users updated through to resolution.
- Running the service desk day to day, escalating only what cannot be resolved internally.
- Hands-on support to staff in the office and on site, including but not limited to hardware set-up, desk moves, printers, meeting room equipment, telephony and cabling.
- Management of the full user lifecycle, ensuring accounts, mailboxes, permissions and equipment are in place for new starters on day one.
- Working with vendors to purchase hardware, setting up new devices for staff and managing existing stock.
- Completion of the leaver process, including removal of access on the final day, recovery of company equipment and reallocation of licences.
- Administration of user access and permissions across Microsoft 365 and other software products.
- Asset management of all company devices, including laptops, mobiles, SIMs, tablets and printers, using tools such as Microsoft Intune, as well as managing end-of-life devices and updates.
- Accurate records of all hardware issued, including who holds what, warranty status, condition and replacement cycles.
- Monitoring of the company network including switches, wireless access points, the firewall and the server cabinet, together with coordination of connectivity for new and existing site offices.
- Management of software licensing across Microsoft 365, cyber security tooling and all other business applications, ensuring allocations are accurate and expenditure is controlled.
- Day-to-day contact for third party IT suppliers, hardware vendors and repair agents, including raising, chasing and closing tickets and standard setting against agreed service levels.
- Ensure correct stocks and timely orders of IT hardware, software and consumables, including quotes, orders and tracking of deliveries within agreed budgets.
- Ensure that the business maintains the necessary measures and evidence for Cyber Essentials and Cyber Essentials Plus certification, kept current throughout the year rather than gathered at renewal.
- Supporting day-to-day cyber hygiene across the business, including but not limited to, multi-factor authentication, device compliance, security awareness training and phishing simulations.

Business Systems Improvement and AI
- Work with colleagues across the business to understand existing processes, challenges and requirements, and identify opportunities to improve efficiency, automation, data quality and user experience through the development, integration and effective use of business systems and digital tools.
- Support the implementation and practical adoption of Artificial Intelligence solutions across the business, ensuring they are introduced in a controlled, useful and responsible way.
- Keep up to date with developments in AI and emerging technology and explore where these could add value to the business.
- Act as an internal champion for business systems, technology adoption and continuous improvement, helping colleagues understand and make effective use of the tools available to them through guidance, user materials, short training sessions and one-to-one walkthroughs where required.
- Support the implementation and continuous improvement of in-house systems and technology, identifying opportunities to enhance efficiency, address recurring issues and vulnerabilities, and deliver projects that improve the overall IT environment and user experience.
- Day-to-day user and tester of internal tools, feeding back bugs and staff requirements and working alongside the system lead.
Skills and Experience
- Passionate about continuous improvement and proactive in researching, testing and recommending new ideas.
- Curious about how the business works and able to identify where systems, technology or automation could improve the way work is carried out.
- Genuine interest in IT, business systems, digital improvement and AI, with a desire to build a career and develop knowledge and capability in these areas.
- Willing to learn quickly and adapt the role to suit the needs of the business.
- IT literate with previous knowledge of Microsoft 365 and Windows environments.
- Exposure to Microsoft Intune, networking or cyber security is desirable. Training and support will be given.
- Able to deliver numerous tasks with a quick turnaround and prioritise accordingly.
- Able to work with both technical and non-technical personnel and explain matters in plain English.
- Full UK driving licence and able to travel to site when required.

Development and Progression
- This role is intended to develop into a key position within the business. The post holder will build a detailed understanding of the company’s systems, processes and technology landscape and progressively take ownership of business systems, digital improvement initiatives and technology projects.
- The successful candidate will initially have access to appropriate support and knowledge transfer but will be expected to develop their capability and independence, reducing reliance on individual knowledge and external support over time.
- Relevant training and certification will be supported where it benefits both the individual and the business, including development in business systems management, cyber security, automation, AI and digital transformation.
Quality
- The post holder will work alongside the rest of the team to ensure that work is carried out in line with current ISO accreditations and the company’s Cyber Essentials certification, ensuring IT policies, procedures and documents are controlled in line with the relevant standard requirements.
- There will be a need to communicate with external accreditation bodies, auditors and assessors as required, and to produce the evidence they request.
Communication
- The role will require the post holder to communicate verbally in a professional manner with a wide range of personnel both internally and with external suppliers.
- The post holder will use their initiative to solve problems and answer queries from both internal and external sources and will communicate with colleagues and suppliers in a positive and respectful manner.
- The post holder will be required to undertake other duties as requested within the scope of their ability and role.
