Hybrid Working: This is a hybrid working opportunity, with an expectation to attend our Milton Keynes or London office for team meetings as required to meet the needs of the business.
Job Purpose:
The Business Systems & IT Officer will act as the operational owner of business systems and internal IT coordination across Eclipse Power and associated service lines. The role will be the primary point of contact for employees, working closely with our external IT support provider and escalating only significant, strategic or high-risk issues. The postholder will own day-to-day administration of business systems, software licences, user access, onboarding and offboarding processes, SharePoint governance and digital collaboration tools. The role will also support improvements in data quality, reporting, AI adoption and digital ways of working across the Group.

Main responsibilities will include:
- Act as the first point of contact for colleagues on systems and IT related matters.
- Manage the relationship with the external IT provider and monitor service delivery.
- Coordinate incidents, requests, equipment deployment and user support.
- Support HR with onboarding and offboarding including accounts, permissions, devices and licences.
- Maintain accurate software licence, hardware and asset registers.
- Administer Microsoft 365 including SharePoint, Teams and user permissions.
- Lead a review and continuous improvement programme for SharePoint governance and structure.
- Work with each department to organise files, records and collaboration spaces.
- Own the administration of Monday.com, HubSpot and other core business applications.
- Create user guides, process documentation and training materials.
- Identify automation opportunities and process improvements.
- Support data quality, governance and reporting initiatives.
- Work with stakeholders to improve data capture and consistency.
- Research, test and coordinate AI and automation pilot projects.
- Support delivery of wider transformation and digital improvement initiatives.
Knowledge and Skills Requirements
Essential:
- Experience supporting business systems, IT administration or digital platforms.
- Microsoft 365, SharePoint and Teams knowledge.
- Strong organisational and prioritisation skills.
- Experience working with external suppliers or managed service providers.
- Excellent communication skills with technical and non-technical stakeholders.
- Ability to work independently and take ownership of activities.
- Strong analytical and problem-solving skills.
- Passion for technology and continuous improvement.
Desirable:
- Monday.com and HubSpot administration experience.
- Power BI or reporting experience.
- Power Platform knowledge.
- Data governance experience.
- Project coordination experience.
- Microsoft certifications.
- Experience evaluating or deploying AI tools.
