BUYING ADMIN ASSISTANT
West London (W6)
Contract: Full-time (5 days a week, Monday - Friday)
Location: London (Hammersmith, W6)
Hybrid working: 2 days in the office per week
We're looking for a detail-oriented Buying Admin Assistant to join our Buying team. This is an exciting opportunity for someone who enjoys working with product data, improving processes and using technology to ensure our customers always see accurate product information across our websites, while also bringing a genuine interest in homewares.

We have then expanded our portfolio to include leading online bridal publication Rock My Wedding and launched the lifestyle shopping destination The Homeware Outlet and baby gifting platform LittleList.
While our Buyers continue to source new brands and collections to keep our brands on trend and unique to our competitors, there is an urgency to ensure that these products are available on our site and to our couples as soon as possible. The successful candidate will have a keen eye for detail and will have advanced MS Excel skills that enable them to help manage our product database and ensure pricing, margins and product updates are accurately and efficiently updated.

KEY RESPONSIBILITIES
- Maintaining accurate product, brand and collection information within our product management system in a timely manner, employing impeccable attention to detail in relation to all product information.
- Liaising with suppliers to request price updates, ensuring prices are in line with agreed terms.
- Manage pricing updates, product amendments and discontinued lines, ensuring all changes are implemented accurately and on time, and responding to any pricing issues across the business.
- Set up new products efficiently using AI-assisted tools while ensuring all product data is accurate and complete.
- Management and troubleshooting of any invoice discrepancies between our Finance team and Suppliers to mitigate any margin erosion.
- Assisting the Buying team to strategically manage the re-organisation of the product database for commercial reasons.
- Owning the database quality management process, carrying out spot-checks and running reports to identify and rectify any pricing, product information or upload errors.
- Work with other departments to help resolve cross-functional queries, including Purchasing, Sales, Customer Care, Ecom and Marketing.
- Support the team with sample management, ensuring samples are organised and available for launches.
- Supporting the Buying team with ad hoc projects, including building competitor comp shops, preparing trade reports and conducting trend analysis to help inform commercial decisions.

RELEVANT SKILLS AND EXPERIENCE:
Essential
- Advanced Excel (Pivot Tables, XLOOKUP/VLOOKUP)
- Strong numerical skills
- Excellent attention to detail
- Experience managing large volumes of data
- Highly organised
- Excellent communication skills
Desirable
- Experience within retail, homewares or ecommerce
- Experience with product information management systems, Netsuite is a plus
- Experience or interest in using AI tools such as Claude
- Power BI knowledge
