Job Description: Buying Admin Assistant
Scamp & Dude are seeking a Buying Admin Assistant to assist the Buyers in all aspects of Critical Path, Sample and Administration Management for the department, ensuring on-time delivery of product to specification, from proto handover through to product launch.
A fashion degree or formal fashion background isn't required, although it would be beneficial. Strong administrative skills and the ability to work quickly and accurately in a fast-paced environment are key.
The role is hybrid with 3 days per week at our Head Office in Marlow, Bucks.
Responsibilities
Critical Path & Range Plan Management
- Management of the critical path and department processes to ensure all information is up to date and readily accessible by other teams
- Ensuring all style details are inputted to the range plan on time and accurately
- Ensuring phasing and deliveries are correct on the critical path, with weekly meetings with Merchandising
- Amending orders where required
- Entering all data to Futura to allow order raising
- Answering ad hoc queries as required
Sample Management
- Managing and coordinating sample requirements for the buying department, including Press, Wholesale and Photo samples
- Chasing in all samples to meet deadlines
- Preparation of product reviews, ensuring samples are set up when required
- Managing product storage for the department
Catalogue Information
- Compiling styling and trims details for the catalogue, proofreading with the Buyer before going to press
- Collating catalogue information between Garment Tech, Merchandising, Marketing and Buying, ensuring the document is completed to deadline

People/Communication
- Working with Design, Merchandising and Garment Technology to answer queries and ensure a smooth transition of the product lifecycle from proto to bulk
- Attending weekly updates and scheduled meetings
- Maintaining excellent communication across the company
- Assessing and escalating any queries or issues with the product lifecycle that may cause delays or cost implications
Other Buying Responsibilities
- Assisting in fit sessions, providing administrative support
- Competitive shopping trips to understand the current marketplace and how we compare on retail pricing and product
- Taking comprehensive notes in meetings when required
- Updating and filing all product data
- Maintaining style information and cost prices on the range plan and Futura
- Managing the sample invoice process
- Undertaking development or project work set by the Buyer
- Assisting with general team administration: phone calls, post, courier and parcel collections, and other ad hoc duties
Required Skills
- Ability to multitask in a fast-paced buying office
- Attention to detail and accuracy
- Excellent communication and organisation
- Experience with Excel and Word
- Ability to prioritise and manage a work schedule to tight deadlines
- Ability to build strong relationships with suppliers and colleagues across departments
- Ability to work with pace and energy
