Hybrid: This is a hybrid role, working 3 days per week in the office.
About The Role
As a Buying Assistant, you will support the wider Buying Team with high-volume administrative tasks, such as setting up new lines in our database and accurately loading promotions. You should be detail-oriented, highly organised, and work well under deadlines. You will also be liaising with the wider business, including our Data and Tech teams.
This is a great role if you’re looking to take a step into the world of Buying; however, it’s equally a great role if you love administration too.
There are lots of opportunities for self-development and stakeholder management and you will also have the opportunity to be more creative once settled into the role.
Key Responsibilities Will Include
- Prioritising and managing workload and to-do list, managing expectations cross-functionally
- Helping to facilitate the range review process ensuring that the team adheres to the critical path to ensure on-time launches
- Supporting Category Planning Managers with admin for yearly trade plan including promotional data reporting, maintenance of forecasting documents & follow up actions with the trading team.
- Playing a key role in the management of the promotional process, ensuring that the promo planner is up to date, chasing supplier information, uploading agreed promo forms and checking accuracy
- Managing the price change process from start to finish, including updating the price change tracker, completing price change forms and ensuring prices are loaded onto the system
- Managing the new line process, requesting new line forms from suppliers, accurately setting up products within the required timings
- Creating and managing a range of documents and maintaining data integrity in line with company targets
- Liaising with suppliers and managing tasks around our core trading calendar, developing relationships with the supplier base
- Managing the sample process, involving requesting, reviewing, and managing all samples for the category
- Providing great customer service to both Store and Support Office colleagues through speedy and accurate issue resolution
- Attending and taking comprehensive and detailed meeting notes and actions
- Conducting competitor store visit reports and feeding back to the team
- Preparing for all stores communications for final sign off by the Buyer
- Production of specific financial reports for the weekly trading meeting
- Producing ad hoc reports and gathering information as instructed by the Buyer

This is a busy administrator role, so a passion for administration is essential. You should be used to working in a busy office environment. Microsoft Packages are used daily especially Excel and so you should be comfortable using these packages. SAP is also used frequently. Whilst it would be advantageous for you to have worked with SAP previously, it’s not essential.
This is a critical role within the Buying team, and you must have a high attention to detail. Working with various teams across the business, you should have strong verbal and written communication skills.
