Full-time (37.5 hours paid), permanent Head Office role; salary £25k pa

Role Purpose

The Buying Assistant will support the Buying Manager and wider buying team across the full product lifecycle — sourcing, supplier negotiation, range development and day-to-day administration — helping bring new ranges to market on time, on brief and on budget.

Key Responsibilities

Supplier and Sourcing Support

  • Help identify and evaluate new suppliers and product opportunities, particularly across toys, collectibles, and gift categories
  • Support supplier communications: requesting quotes, samples, specifications, and lead times
  • Maintain supplier records, price lists, and terms of trade

Range Development

  • Support development of new product ranges, including the current collectibles range across building blocks, squishy toys, and jigsaw puzzles
  • Track sample requests, approvals, and product sign-off
  • Assist with range plans, line lists, and critical path management to keep launches on schedule

Trade Shows and Market Research

  • Help prepare for and attend international trade shows (e.g., Ambiente Frankfurt, Spielwarenmesse Nuremberg, Spring Fair Birmingham), including appointment scheduling, order forms, and post-show follow-up
  • Carry out competitor and market research to spot trends and new product opportunities
  • Turn trade show findings into clear, actionable reports for the buying team

Administration and Data

  • Raise and track purchase orders, checking costs, quantities, and delivery dates are accurate
  • Keep product data (descriptions, pricing, imagery, barcodes) up to date across internal systems
  • Monitor stock levels and delivery schedules, liaising with suppliers and logistics where needed
  • Support margin and pricing analysis under guidance from the Buying Manager

Cross-Functional Support

  • Liaise with marketing, merchandising, and warehouse teams to ensure smooth product launches
  • Provide general administrative support to the buying department as required

  • Confident with Microsoft Excel and other Office applications
  • Excellent written and verbal communication skills
