Purpose of the Role
The Café Manager is responsible for overseeing the day-to-day operations of the gym’s café, ensuring a high-quality food and beverage offering that enhances the overall member experience. The role combines operational management, team leadership, and customer service excellence, while maintaining high standards of cleanliness, efficiency, and compliance.
The role includes Duty Manager responsibilities to support the smooth, safe, and efficient day-to-day operation of the gym.
Key Responsibilities and Duties
Customer Experience & Service Delivery
- Ensure consistently high standards of service for all members and guests
- Create a welcoming, social café environment that enhances the overall gym experience
- Handle customer feedback and resolve complaints professionally and efficiently
Operations & Performance Management
- Oversee daily café operations, ensuring smooth and efficient service
- Monitor sales performance and identify opportunities to drive revenue
- Deliver the budgeted café sales figures
- Deliver the budgeted café margins through effective cost control and pricing
- Maintain optimal stock levels and minimise waste
- Manage and enforce stock control and delivery processes
- Investigate and resolve stock discrepancies before reporting findings to the Managing Director

Team Leadership & Development
- Recruit, train, and supervise barista team members
- Set clear expectations and maintain high performance standards
- Provide ongoing coaching and support to develop team capability
- Lead by example with a hands-on approach during busy periods
Stock, Suppliers & Product Management
- Manage deliveries, stock control, and supplier relationships
- Ensure suppliers deliver quality products within agreed cost margins
- Review current market trends and customer preferences
- Identify and propose new menu items for approval by the MD
Compliance, Hygiene & Facilities
- Ensure full compliance with food hygiene, health and safety, and company policies
- Maintain a clean, safe, and well-organised café and storage areas
- Oversee equipment maintenance and report any issues promptly
Administration & Systems
- Ensure all administrative tasks, including invoicing, are completed accurately and on time
- Maintain and update systems with current pricing and product information
- Keep accurate records of stock, deliveries, and financial performance
- Provide clear reporting and explanations to the MD where required

Duty Manager Responsibilities
- Take overall responsibility for the building during your shift, ensuring the building is safe, secure, and operating efficiently.
- Manage the opening and closing of the facility, including setting and disarming alarm systems and following all security procedures.
- Monitor and manage building systems, reporting any faults or maintenance issues promptly.
- Complete incident reports accurately and in line with company procedures.
- Conduct routine risk assessments and support the implementation of health and safety measures.
- Record and monitor temperatures and operating conditions of fridges, freezers, plunge pools, saunas, and other facilities, ensuring all checks are completed in accordance with company procedures.
- Escalate any health, safety, maintenance, or operational concerns to the appropriate manager in a timely manner.
- Ensure compliance with all company policies, health and safety regulations, and operational procedures.
Requirements
- 5 years previous experience of running and growing a café/F&B business, experience of opening other branches is preferable.
