CAFM & Contract Support Analyst

CBRE Global Workplace Solutions is a leading global provider of integrated facilities and corporate real estate management. We are recruiting a CAFM & Contract Support Analyst to join the team located on the Syngenta account supporting the Syngenta Europe region. The successful candidate will be responsible for all aspects of CAFM administrative duties and will provide support to operational teams with the preparation & provision of key deliverables for contract governance to ensure the delivery of compliant and exceptional service to the client.

What You’ll Do

  • Provide support and guidance in the management of geographical and technical data within the Computer Aided Facilities Management (CAFM) system
  • Provide support and guidance to sites on asset data structures as data is captured, ensuring that it is in line with CBRE & Syngenta standards
  • Data cleansing and enhancement of data held in the CAFM system to facilitate improved compliance, reporting and management information
  • Prepare and submit data load requests, as requested for changes to assets where there has been additional scope and other changes that affect the integrity of asset inventory
  • Holds administrative access level into the CAFM system and will provide first line support for Europe operations teams for CAFM challenges and queries
  • Generate and prepare ad hoc reports in response to strategic initiatives
  • Support in access requests and provide training on CAFM and associated applications as required
  • Generate, prepare, and distribute operational support documents, providing support to the Regional Contract Support Manager in document development, as required
  • Provide operational support as required for sites across the Europe region, work order management and closure
  • Support Europe operational teams to drive improved performance in compliance and delivery of KPIs/SLAs in line with the contract
  • Support in the follow up of KPI/SLA failures, CSAT and customer engagement scores and corrective actions in collaboration with the Regional Contract Support Manager
  • Preparation of a range of internal/external reports (e.g. Monthly Operations Reports, Quarterly Business Reviews, Leadership Team Meeting)
  • Based at the Jealott’s Hill Campus, minimum three days a week, this role helps support one of only six Mega sites across the account globally as required.
  • Any other ad hoc request to support the delivery of compliant and exceptional service to client

What You’ll Need

  • Ability to work under pressure, multi-task and deliver to tight deadlines
  • Excellent problem-solving skills
  • Customer focused, with excellent influencing and communication skills
  • Strong written and verbal communication skills
  • Proficient Microsoft Office skills
  • Excellent accuracy and attention to detail
  • Experience using CAFM, Maximo/ServiceInsight/ preferably IFM Hub although not essential and training will be provided although experience working on other CAFM platforms is important.
  • Strong proven Customer Service experience, preferably within an outsourced environment in a similar role
  • Operational experience of managing and working within a diverse and complex organisation

Qualifications

Education and Experience

  • Bachelor's degree (BA/BS) required plus a minimum of five years experience with process improvement, project management or other related experience.

Certificates and/or Licenses

  • Green Belt Lean Six Sigma Certification preferred.

Communication Skills

  • Excellent written and verbal communication skills. Strong organizational and analytical skills. Ability to provide efficient, timely, reliable and courteous service to customers. Ability to effectively present information.

Financial Knowledge

  • Requires knowledge of financial terms and principles. Ability to calculate intermediate figures such as percentages, discounts, and/or commissions. Conducts basic financial analysis.

Reasoning Ability

  • Ability to comprehend, analyze, and interpret documents. Ability to solve problems involving several options in situations. Requires intermediate analytical and quantitative skills.

Other Skills and Abilities

  • Intermediate knowledge of computer software and hardware (i.e. Microsoft Office Suite Products).
