Acomb Manor is preparing to welcome its very first residents, and we're looking for an exceptional Care Home Administrator to help us create something truly special from day one.

As part of the trusted St Mary's Care Group, we're building more than a luxury care home. We're creating a place where residents feel valued, families feel reassured, and colleagues feel supported to deliver outstanding care.

While our carers support residents day-to-day, you'll be the person helping everything behind the scenes run smoothly and efficiently.

You'll be the reassuring voice on the telephone, the welcoming face at reception, the organiser who keeps the home running seamlessly, and the trusted colleague who supports both residents and the wider team.

The Opportunity

As our Care Home Administrator, you'll play a pivotal customer facing role in the successful launch and ongoing operation of Acomb Manor.

You'll work closely with the Home Manager and wider team to ensure every aspect of administration, finance, payroll and resident records is managed professionally and accurately.

Most importantly, you'll help create the warm and welcoming experience that families remember long after they first walk through our doors.

  • Supporting Residents and Families

    • Provide guidance and reassurance while helping enquiries, admissions and day-to-day communication run smoothly.
  • Managing Financial Administration

    • Maintain accurate financial records, resident accounts, invoicing information and management reports.
  • Supporting Payroll Processes

    • Assist with payroll administration, staff attendance records and related reporting requirements.
  • Keeping Everything Organised

    • Maintain resident and staff records, ensuring all documentation is accurate, current and compliant, as well as supporting new colleagues onboarding.
  • Supporting the Leadership Team

    • Provide high-quality administrative support to the Home Manager and wider management team.
  • Coordinating Daily Operations

    • Manage correspondence, office systems, stock records, uniform ordering and general office administration.
  • Being a Key Member of the Team

    • Participate in meetings, contribute ideas and play an active role in creating a positive culture throughout the home.
  • Support Communication Across the Home

    • Manage enquiries, correspondence, information requests in a professional and timely manner and support with showing and marketing the home.

About You

We're looking for someone who combines outstanding organisational skills with genuine warmth and compassion.

You'll ideally have:

  • Previous experience in an administrative, receptionist or office management role ideally within a luxury care home setting.
  • Excellent IT skills, including Microsoft Word, Excel and Outlook.
  • Experience of Cool Care would be advantageous
  • Strong communication skills, both written and verbal.
  • Excellent attention to detail and organisational ability.
  • Experience handling confidential information appropriately.
  • The ability to prioritise tasks in a busy environment.
  • A friendly, approachable and professional manner.

Experience within a care home or healthcare setting would be advantageous but is not essential.

Most importantly, you'll be someone who understands that behind every document, phone call and invoice is a person who matters.
