We are looking for an experienced and motivated administrator to join our team. Situated in the heart of Pollok, our modern 50-bed nursing home provides high-quality nursing, dementia, complex and palliative care in a warm, welcoming environment where residents truly feel at home.
About the Role
Silverburn Care Home is looking for an experienced, organised and dependable Care Home Administrator to support the smooth day-to-day running of our home.
This is a varied role combining reception, resident administration, staff administration and general support to the Care Home Manager.
We are looking for someone who enjoys being at the centre of a busy environment, takes ownership of their responsibilities and can provide a professional and welcoming point of contact for residents, families, staff and visitors.
About You
- Manage reception and act as a professional and welcoming first point of contact for residents, relatives, visitors and suppliers.
- Answer telephone calls, emails and general enquiries.
- Maintain accurate resident and administrative records.
- Support resident admissions and associated documentation.
- Maintain and reconcile residents' personal monies and petty cash, ensuring accurate records and receipts are retained.
- Assist the Finance Team with any information and documentation necessary to enable accurate and timely invoicing.
- Forward relevant invoices, receipts, expenses and supporting information to the Finance Team.
- Maintain accurate and confidential employee records.
- Support staff administration including timesheets, holidays, absence records and training documentation.
- Assist with recruitment administration, pre-employment checks and onboarding of new employees.
- Maintain organised electronic and paper filing systems.
- Prepare correspondence, reports, spreadsheets and other documentation when required.
- Arrange meetings and take minutes where required.
- Assist with maintaining records and documentation for audits and regulatory inspections.
- Provide administrative and operational support to the Care Home Manager when necessary.
- Liaise with Head Office, support teams and external organisations as required.
- Undertake other reasonable administrative duties necessary for the smooth running of the home.

We're looking for someone who:
- An experienced administrator with excellent organisational skills.
- Confident working independently and taking ownership of their responsibilities.
- Accurate, numerate and comfortable maintaining petty cash and administrative records.
- Confident using Microsoft Office, particularly Word, Excel and Outlook.
- Professional and discreet when dealing with confidential information.
- Friendly, approachable and confident dealing with residents and their families.
- Able to prioritise effectively in a busy environment.
- Comfortable supporting a Care Home Manager and wider team with changing day-to-day priorities
