The Opportunity

We are recruiting a Care Service Facilitator on behalf of an established healthcare provider.

This is a busy and varied position combining care coordination, staff scheduling, and office administration. You will be central to the daily operation of the service, ensuring care visits are covered, staffing changes are managed efficiently, and service users receive reliable, uninterrupted support.

Package

  • £26,325 per annum starting salary
  • Monday to Friday 9am-5pm – office based
  • Holiday pay, sick pay, pension, and mileage for work purposes at 40ppm

Responsibilities

  • Preparing and updating staff rotas
  • Allocating shifts across care packages and community care runs
  • Monitoring coverage and resolving rota gaps
  • Arranging cover for sickness, annual leave, and unexpected absences
  • Providing staff and service users with accurate schedules
  • Responding to telephone and email enquiries
  • Maintaining accurate information across care management systems
  • Checking timesheets and rota information ahead of payroll deadlines
  • Keeping training, certification, and compliance records up to date
  • Assisting with internal reports and quality checks
  • Collating information for weekly and monthly deadlines
  • Supporting administrative finance tasks, including payroll and debtor records
  • Communicating with GPs, District Nurses, and other healthcare professionals when required
  • Building effective relationships with internal teams and external organisations

Requirements:

You will ideally have previous experience within care coordination, scheduling, rostering, or healthcare administration.

You Should Also Have

  • Excellent organisation and time-management skills
  • Strong written and verbal communication
  • Confidence managing several changing priorities
  • A calm, practical approach to unexpected staffing issues
  • Good attention to detail and accurate record-keeping skills
  • Experience using care management, rostering, or similar office systems
  • The ability to work independently while contributing to a wider team
  • A professional and approachable manner
  • Previous exposure to payroll, financial administration, or office management

An NVQ Level 3 in Health and Social Care would be advantageous, although it is not essential.

Hours and Location

The standard working pattern is Monday to Friday, 9:00am–5:00pm. Some flexibility may occasionally be required according to the needs of the service.
