About The Minster Centre
The Minster Centre is a registered charity based in Queens Park, London NW6 that trains psychotherapists and counsellors. As an accredited higher education organisation, we provide in-person and online courses throughout the week and weekend. The Minster Centre also provides a psychotherapy and counselling service to the local community and has several rooms that are hired out for therapy, training, and events.
Role Summary
The Central Services Administrator is a critical and central role at The Minster Centre, providing a welcoming service to students, room hirers, therapy clients, therapists, and staff members that is friendly, professional, efficient, and aligned with The Minster Centre’s Ethos. The Central Services Team provides first-line support to staff and students as well as undertakes administrative duties crucial to the running of the Centre. The team are also often the first point of contact for members of the public who may be interested in therapy, training, or making general enquiries regarding The Minster Centre.
The Minster Centre is a small, friendly organisation and the Central Services Administrator needs to be an adaptable and flexible person who enjoys teamwork and collaboration within a continuously evolving environment. The Central Services Administrator role is varied, and you will be expected to work with initiative and autonomy to respond to the needs of the Centre.
The ideal candidate will have previous administration and front of house experience to help ensure that all building users (students, staff, room hirers, and clients) are welcomed, that the building is available and set up for training and therapy services. Furthermore, they will be organised, have excellent IT skills and knowledge and practice of using Zoom or be enthusiastic to learn. They will have the ability to work calmly and efficiently under pressure and with staff and service users at all levels and backgrounds. In addition, they will be able to work autonomously on various tasks and work well in a team. This is a great opportunity for someone with relevant transferable skills to develop those skills further within a busy therapy and training environment.
Terms and Conditions
Hours: Part-time 23 hours per week; Mondays to Thursdays (inclusive): 3pm – 7.30pm, Saturdays: 9am – 2pm
Location: The Minster Centre, Queens Park, NW6 6RD
Salary range: £17,718 pro rata (£26,178 FTE)
Contract: This role will be offered on a fixed term until the end of the 2026-27 academic year and then reviewed, with potential for it to become permanent.

Reports to: Central Services Manager
Duties And Responsibilities
Facilities & Operations Management
- Staffing & Rota Coordination: Collaborate with the Facilities & Membership Manager to manage the building rota, ensuring seamless coverage for staff absences and holidays.
- Access Control: Co-coordinate building access, including the daily opening and closing procedures of the premises.
- Incident Response: Respond appropriately to building emergencies in accordance with training provided.
- Premises Maintenance: Ensure the building remains tidy, presentable, and welcoming, while managing inventory and ordering stationery and supplies.
Event Logistics & Technical Support
- Event Coordination: Plan and execute events, room setups, and provide hands-on support for key functions such as Open Days, Graduation, and coffee mornings.
- On-Site & Virtual Support: Provide technical assistance for online and hybrid sessions, including Zoom support, basic Moodle/MS Office troubleshooting, and routine AV setups in training rooms.
- Venue Bookings: Manage the room booking system from initial inquiry to final booking, collaborating with the Finance team to facilitate accurate invoicing.
Stakeholder Engagement & Communications
- Front of House: Act as the first point of contact for visitors, managing incoming telephone calls and providing accurate information to building users, the public, prospective students, and alumni.
- Enquiry Management: Take ownership of enquiries and see them through to a resolution efficiently and professionally.
- Information Flow: Monitor and triage shared mailboxes (including Central Services, Placements, and Membership), escalating high-priority correspondence to the Facilities & Membership Manager as required.
Finance & General Administration
- Financial Admin: Maintain and reconcile petty cash.
- Data & Systems Management: Undertake cross-team administrative tasks to support organisational efficiency.
- Ad-hoc Support: Undertake other duties as reasonably required by the organisation.
This is not an exhaustive list of duties and responsibilities. The post holder may be required to undertake other duties which fall within the ambit of the role, in discussion with the Central Services Manager or Management Committee.
