Centralised Operations Manager

A large, established property management organisation is seeking a Centralised Operations Manager to provide strategic leadership across central FM operations, CAFM governance, and the standardisation of building-management processes.

The role will sit at the centre of the operational function and work closely with Directors, Building Managers, Engineering, Health & Safety, and other senior stakeholders.

Role Overview

This role will be responsible for bringing greater consistency, governance, and operational control across three key areas:

  • FM Helpdesk Management
  • CAFM Systems Governance & Optimisation
  • Centralisation and standardisation of building-management processes

You will lead through an FM Helpdesk Manager and CAFM Systems Administrator, while acting as the senior operational owner for service standards, systems governance, performance reporting, compliance, and continuous improvement.

A major part of the role will be reviewing and improving how PPM, reactive maintenance, engineering resource deployment, and associated compliance processes operate across the wider portfolio.

Key Responsibilities

  • Lead and develop the FM Helpdesk Manager and CAFM Systems Administrator, setting priorities, standards, and performance expectations.
  • Provide strategic oversight of the FM Helpdesk, ensuring consistent, customer-focused, and compliant service delivery.
  • Define service standards, operating procedures, business-continuity arrangements, and standardised ways of working.
  • Act as business owner for the organisation’s CAFM platform, setting strategy, governance, and development priorities.
  • Oversee CAFM administration, data integrity, information security, reporting, compliance, and system performance.
  • Work with Engineering, Health & Safety, and operational stakeholders to ensure CAFM supports statutory compliance, audit, and risk-management requirements.
  • Lead implementation and optimisation of CAFM functionality, automation, reporting tools, and integrations.
  • Review and standardise building-management processes across the portfolio, with particular focus on PPM and reactive maintenance.
  • Develop governance frameworks, procedures, and controls to improve consistency, compliance, and operational efficiency.
  • Coordinate internal and external audits relating to FM operations, systems, and associated processes.
  • Monitor audit findings, corrective actions, and continuous-improvement activity.
  • Develop KPI frameworks and use operational data, stakeholder feedback, and service trends to identify opportunities for improvement.
  • Produce management information and strategic recommendations for senior leadership.
  • Manage budgets, forecasting, expenditure, and service-charge allocations across the FM Helpdesk and CAFM functions.

Candidate Profile

The successful candidate is likely to bring:

  • Strong experience within Facilities Management, Property Management, Building Services, or a similar operational environment.
  • Previous leadership of operational, systems, support, or centralised FM functions.
  • Experience managing and developing managers or specialist teams.
  • Strong knowledge of CAFM systems governance, administration, and optimisation.
  • Experience improving and standardising processes across multiple buildings or operational teams.
  • Strong understanding of PPM, reactive maintenance, engineering resource management, and statutory compliance.
  • Experience with audits, quality-management systems, regulatory compliance, and ISO standards.
  • Strong Health & Safety awareness and experience working with technical and operational stakeholders.
  • Confidence using KPIs, operational data, and management information to drive service improvement.
  • Strong stakeholder-management and influencing capability.
  • Experience managing budgets, financial performance, and service-charge allocations.

Experience with Concept Evolution, SFG20, Yardi, Power BI, or similar CAFM/reporting systems would be advantageous.

Contract Details

  • 16-month FTC / Maternity Cover
  • £70,000–£75,000 depending on experience
  • London
  • 4 days office / 1 day home

This is a strong opportunity for an experienced FM operations professional to take ownership of a broad centralised remit spanning systems, governance, process improvement, and operational transformation within a complex property environment.
