Overview
We are looking for an Administrative Officer with experience of providing support to research activities and of working with research teams. You will be based within the ESRC Centre for Care, under the direction of Director Professor Kate Hamblin and the Centre for Care Manager, Dr Kelly Davidge. You will produce and maintain documentation to ensure smooth operation of the Centre; support regular and ad hoc Centre events; be the main point of contact for all initial enquiries about the Centre; engage with our Centre team, and national and international stakeholders; support financial, personnel and other office-based tasks; assist with bookings and manage the Centre calendar; and perform other administrative tasks as required.
Main Duties And Responsibilities
- Work proactively to maintain Centre information and documentation, manual and electronic records, databases and generate reports as required, making informed decisions on how best to store information and keep it up to date.
- Take delegated responsibility for aspects of the Centre, for example expense claims, payments to people with lived experience and Purchase cards, following established procedures, keeping accurate, complete and detailed records.
- Organise travel and accommodation arrangements for Centre for Care staff, including arranging risk assessments where necessary.
- Provide effective administration assistance before and during Centre meetings, including the Advisory Board.
- Be the main point of contact for queries about activities within the Centre for Care, providing accurate, relevant and timely information, and taking advice, where appropriate, from senior colleagues.
- Assist with the organisation of research related events and activities.
- Take responsibility for ensuring supplies and resources needed for the Centre are available when required.
- Liaise with internal key contacts in the wider University and maintain high professional standards in all contacts with internal and external members of the Centre team and its networks.
- Prioritise your own work within the general plan for the Centre for Care, ensuring deadlines and appropriate standards are met.

Criteria
Essential
- Previous experience of working in a research support environment within higher education or another research context.
- Experience of a range of administrative and office practices and procedures.
- Ability to assess and organise resources and information effectively, and to set up filing and other systems to ensure information is available and can be reported on as necessary.
- Excellent communication skills, both written and verbal, working with accuracy and attention to detail; experience of communicating with a range of audiences.
- Experience of developing and maintaining a network of contacts throughout own work area.
- Ability to arrange a wide range of events, e.g. organising room bookings, materials, catering and participants, as required.
- Excellent customer service, with experience of responding efficiently and effectively to phone and email enquiries.
- Excellent organisation and time management skills to prioritise own workload and work accurately to tight deadlines with minimal supervision.
- Experience of working effectively both independently and as part of a team.
Desirable
- Excellent IT knowledge and skills, with experience using Microsoft Office packages, in particular Word and Excel, and Google packages.
