Role Description

The Centre Manager is a full-time, on-site role based at Kollaborate House in Glasgow City Centre. This is a key position within the business, with full responsibility for the day-to-day running, presentation and overall experience of the workspace.

We are looking for someone who will genuinely take ownership of Kollaborate House and become the face of the workspace. You will be the first point of contact for our members, visitors and clients and will play a central role in creating a welcoming, professional and well-run environment.

The successful candidate will be a proactive, hands-on team player who is happy to turn their hand to whatever is needed to keep the workspace running smoothly. We are looking for someone with a positive, can-do attitude who takes pride in going above and beyond for our members and the wider team when required.

As Centre Manager, you will take responsibility for ensuring Kollaborate House is maintained to a consistently high standard. This includes overseeing facilities, maintenance, meeting rooms, office spaces, stock levels, reception and front-of-house duties, as well as liaising with our cleaning, maintenance and wider support teams.

You will build strong relationships with our members, understand their needs and ensure they receive a high level of service throughout their time with us. You will assist with client onboarding, respond to member enquiries, manage bookings and support clients with business services including mail handling and office administration. The role will also involve preparing basic monthly reports, implementing operational policies and procedures communicated by the management team, and working closely with the wider Quintessential Offices team to ensure the workspace operates efficiently.

You should be someone who notices when something needs doing and takes ownership of it all while building a strong community among our members and represent Quintessential Offices professionally at all times.

Key Responsibilities

  • Take full ownership of the day-to-day running and presentation of Kollaborate House.
  • Act as the face of the workspace and the main point of contact for members, visitors and clients.
  • Deliver a consistently high standard of customer service and member experience.
  • Oversee reception and front-of-house operations.
  • Ensure meeting rooms, communal areas and office spaces are clean, presentable and ready for use.
  • Work closely and communicate well with our cleaning and maintenance teams.
  • Monitor stock levels and ensure the workspace is adequately supplied.
  • Manage meeting room and workspace bookings.
  • Assist with new member onboarding and provide ongoing support to existing members.
  • Handle member enquiries promptly and professionally.
  • Support members with mail handling.
  • Build positive, long-term relationships with members and understand their individual needs.
  • Work closely with the Brand Manager to organise and deliver monthly member events.
  • Prepare basic monthly operational reports.
  • Implement and maintain operational procedures set by the management team.
  • Be willing to go above and beyond the core responsibilities of the role when needed to support the workspace and our members.
  • Maintain a professional, welcoming and positive environment at all times.

Qualifications and Experience

  • Strong customer service, client relationship management and front-of-house administration skills.
  • Previous experience in office operations, building management, hospitality, property management, serviced offices or coworking spaces.
  • Excellent organisational and time management skills, with the ability to manage multiple priorities.
  • Strong attention to detail and pride in maintaining high standards.
  • Confident written and verbal communication skills.
  • Professional telephone and email etiquette.
  • Proficiency with standard office software, including email, calendars, spreadsheets and booking systems.
  • A proactive, practical and solutions-focused approach.
  • A flexible attitude and willingness to take on tasks outside of your usual responsibilities when required.
