Role Description
An international group operating across shipping, maritime investments and related businesses is seeking a highly capable, analytical and organised professional to join the Chairman’s Office.
This is a multidisciplinary, content-led role focused on management reporting, strategic projects, business research, cross-functional follow-up and the development of core business systems.
The successful candidate will bring together information from across the Group, turn it into clear decision-ready reporting, and ensure that key projects and decisions are followed through to completion. The role will also support the development of the Group’s initial operating infrastructure, including document management, workflows, HR processes and KPI reporting.
This is not a traditional secretarial or diary-management position. It is designed for someone who can act as a trusted analytical and execution partner to the Chairman.
Key Responsibilities
Management Reporting and Decision Support
- Collect, review and integrate information from different companies, departments and senior team members.
- Prepare concise management reports, executive summaries, briefing notes and presentations.
- Identify key issues, inconsistencies, risks, delays and matters requiring a decision.
- Compare available options and present clear recommendations, including benefits, risks, costs and proposed next steps.
- Maintain a structured overview of priorities, projects, decisions, responsibilities and deadlines.
Strategic Projects and Business Development
- Conduct market research and identify potential business, investment and partnership opportunities.
- Research and evaluate companies, advisers, service providers and potential counterparties.
- Obtain and compare proposals, fees, capabilities, track records and commercial terms.
- Support the commercial review of contracts and extract key terms, obligations and risks, working with legal advisers where appropriate.
- Assist with corporate projects, new structures, SPVs, financing processes and strategic partnerships.
- Coordinate and follow up with banks, financiers, lawyers, accountants, consultants and other professional advisers.

Project Execution and Follow-up
- Convert meetings and decisions into clear action plans with owners, deadlines and next steps.
- Follow up proactively with internal teams and external parties until actions are completed.
- Maintain project trackers and dashboards showing progress, dependencies, risks and outstanding items.
- Identify obstacles and escalate matters requiring senior intervention.
- Take temporary ownership of important matters that do not yet have a clearly assigned internal owner.
Business Systems and Organisational Development
- Help design and implement document-management and filing systems.
- Establish practical workflows for approvals, follow-up, reporting and information sharing.
- Support the development of organisational structures, job descriptions and reporting lines.
- Assist with the implementation of initial HR, recruitment and onboarding processes.
- Help design KPI frameworks and periodic performance-reporting systems.
- Identify and implement suitable digital tools for project management, reporting, documentation and collaboration.
- Document core processes and help improve the Group’s ways of working.
AI and Digital Capabilities
Practical proficiency with AI tools is a key requirement for this role.
The successful candidate should be able to use AI effectively for:
- Market and company research
- Reviewing and summarising reports, contracts and other documents
- Preparing management reports, presentations and option comparisons
- Designing workflows, templates, trackers and dashboards
- Structuring information and building internal knowledge resources
- Automating repetitive tasks and improving productivity
Candidates must also demonstrate sound judgement when verifying AI-generated outputs and handling confidential or commercially sensitive information.
Candidate Profile
- Strong analytical skills and the ability to structure and simplify complex information.
- Commercial awareness and an understanding of financial, legal, operational and organisational matters.
- Excellent follow-up discipline and the ability to manage several workstreams simultaneously.
- A proactive and hands-on approach, with the confidence to take ownership and drive matters forward.
- The ability to create structure and systems within an entrepreneurial and evolving organisation.
- Excellent written English and the ability to prepare concise, decision-focused reports.
- Confidence in dealing with senior executives, banks, lawyers, consultants and international counterparties.
- High levels of discretion, accuracy, professional judgement and attention to detail.
- Strong proficiency in Microsoft Office, project-management platforms and AI-enabled tools.

Experience and Education
- Ideally 4–8 years of relevant experience in strategy, business operations, corporate projects, business development, commercial analysis or an executive office environment.
- Experience supporting a Chairman, Founder, CEO, family office or senior leadership team would be highly advantageous.
- Experience in shipping, trading, energy, investment, professional services or another international project-based business would be beneficial.
- A bachelor’s degree in Business Administration, International Business, Economics, Finance, Law, Project Management, Business Analytics, Shipping or another relevant discipline.
- Professional fluency in English is essential; additional languages would be an advantage.

The Chairman has a clear and current view of priorities, projects, decisions and next steps. Information from across the Group is properly integrated and presented in a concise, decision-ready format. Important actions progress without repeated intervention, and the Group’s core systems and processes become increasingly structured, efficient and scalable.
