Chief of Staff – Executive Search - Venture Capital
Location: London
Salary: Attractive basic + bonus depending on experience
Working arrangement: Hybrid working
The opportunity
An established, fast-growing global executive search firm is looking for a commercially minded and technologically confident Chief of Staff to work closely with its COO in London.
The business has experienced significant year-on-year growth in both headcount and revenue and continues to see strong demand from venture-backed software and technology companies across Europe and the US.
As the firm continues to scale, it needs someone who can translate ideas into practical systems, turn repeatable activities into efficient processes and create the operational capacity required for its next phase of growth.
This is not a traditional administrative Chief of Staff position. It is a hands-on operational role for someone who understands executive search, enjoys identifying inefficiencies and can use technology to turn ideas into functioning tools and scalable processes.
By successfully implementing these initiatives, you will help free up the COO and wider leadership team to concentrate on clients, people and the continued growth of the business.
The company
The company is an established global executive search and talent advisory firm working with ambitious, venture-backed software and technology businesses.
It operates as a retained and embedded talent partner, frequently working as an extension of its clients’ internal teams. Its assignments range from individual senior appointments to substantial international hiring programmes.
Typical projects include:
- Supporting a Series A company appointing its first senior commercial leader.
- Delivering executive and leadership searches across Europe and North America.
- Helping clients build complete sales, marketing or customer-success functions.
- Supporting rapidly scaling businesses making significant numbers of hires.
- Advising clients on market mapping, candidate engagement and international talent strategy.
The firm is experiencing strong demand for its services and expects to grow considerably over the next two years. This creates a genuine need for scalable systems and stronger operational infrastructure.
The role
Working directly with the COO, you will examine how the business operates and identify where recurring activities can be converted into clearer, faster and more scalable systems.
You will take broad ideas or operational problems, understand the intended outcome and own the process through to successful implementation.
Projects could include:
- Designing and improving client-onboarding processes.
- Creating better systems for client reviews and account management.
- Automating repetitive internal activities.
- Improving the flow of information between teams.
- Developing internal reporting, dashboards and management information.
- Creating workflows that improve consistency across retained assignments.
- Identifying opportunities to use AI across research, delivery and business operations.
- Building lightweight internal tools using platforms such as Lovable.
- Testing and refining new systems before introducing them across the business.
- Documenting processes so they can be used consistently.
- Measuring whether new initiatives are delivering the intended improvements.
- Identifying incremental “micro-gains” that collectively create meaningful efficiencies.

The business has already successfully automated significant parts of its accounting and finance operations. Its ambition is to apply the same mindset throughout the company: questioning how work is completed, removing unnecessary manual activity and designing systems that allow employees to concentrate on higher-value work.
Mandatory requirements
Candidates must have previous experience working within an executive search business.
The length of time spent in the industry is less important than the quality and relevance of that experience. The company is open to someone earlier in their career if they can demonstrate that they have already taken ownership of meaningful operational improvements.
Applicants must be able to provide clear examples of processes or systems they have personally designed and implemented. This could include:
- Turning a recurring manual task into a documented and repeatable process.
- Ability to convey information over Slack and convey information succinctly.
- Building an internal workflow, tool or platform.
- Introducing automation into part of the search process.
- Improving client onboarding, reporting or account reviews.
- Designing a system that improved consistency across assignments.
- Using AI or no-code technology to improve productivity.
- Identifying an operational problem and successfully implementing the solution.
- Demonstrating measurable improvements in efficiency, quality or client experience.
The company is looking for evidence of execution and not simply ideas, recommendations or involvement in a wider project.
What the company is looking for
The successful person will combine strategic thinking with a willingness to execute.
You should be able to listen carefully to an idea, understand the desired outcome and take responsibility for turning it into something practical. You will be comfortable working independently while collaborating closely with the COO and colleagues across the business.
You will also be expected to challenge constructively. The company does not simply want someone who follows instructions; it wants someone who asks intelligent questions, identifies potential weaknesses and recommends a better solution where one exists.
You are likely to demonstrate:
- A strong understanding of retained executive-search processes.
- Proven operational and process-design capabilities.
- Confidence using AI tools to improve productivity and decision-making.
- Experience with no-code, low-code or “vibe coding” platforms.
- The ability to prototype and build practical internal tools.
- A natural interest in systems, automation and continuous improvement.
- Excellent project-management and organisational skills.
- The ability to move projects from an initial idea through to implementation.
- Strong written and verbal communication.
- Commercial judgement and an understanding of how operational changes affect clients and revenue.
- Attention to detail without losing sight of the wider objective.
- The confidence to work closely with senior leaders.
- A collaborative approach and the ability to challenge constructively.
- Curiosity, adaptability and a desire to keep learning.

Relevant executive-search backgrounds
The company is open-minded about the type of executive-search role candidates may have held. Working in Executive Search connected to Venture Capital would be highly advantageous.
Relevant experience could come from:
- Search delivery, research or project management.
- Executive-search operations.
- A Consultant or Associate role with operational responsibilities.
- Principal Consultant looking to pivot their career.
- Business operations or transformation within an executive-search firm.
- An existing Chief of Staff or strategic support role within the sector.
- A broader executive-search position in which the individual has independently built processes, tools or systems.
Job title and years of experience will not determine suitability. The defining factor will be evidence that the individual understands executive search and can design, implement and improve the systems supporting it.
