Children’s Services Records Officer
£36,693 to £37,794 pa (inclusive)

Ealing Council has an exciting opportunity for a Children’s Services Records Officer to join our Children's Services team on a full-time basis.
This is a rewarding and varied role at the heart of Children's Services, supporting the effective management, retrieval and governance of sensitive information. You will play a key role in ensuring that children's records are managed accurately, securely and in accordance with legislative and regulatory requirements.
Working closely with operational teams, managers, Legal Services and the Data Protection team, you will support the coordination of Subject Access Requests (SARs), Disclosure Requests and other statutory information requests, helping to ensure that records are identified, collated and processed within required timescales.
This role offers an excellent opportunity for an organised and detail-oriented individual with strong administrative and records management skills to contribute to services that make a positive difference to children and families across the borough.

As the Children’s Services Records Officer you will:
- Create, maintain and manage both electronic and paper-based records in line with Council policies and records management standards
- Coordinate the retrieval, tracking, storage and archiving of children's social care records, maintaining robust audit trails
- Support the administration and coordination of Subject Access Requests (SARs), Data Protection Act requests, Disclosure Requests and court-related information requests, ensuring compliance with statutory deadlines
- Liaise with social work teams, managers, Legal Services and Information Governance colleagues to ensure records are located, collated and processed efficiently
- Maintain records databases and electronic document management systems, ensuring data integrity and accuracy
- Scan, index and quality check documents to ensure information is correctly recorded and accessible
- Support records retention and disposal processes in accordance with legislative and organisational requirements
- Produce management information and performance data relating to records management and information requests
- Contribute to the continuous improvement of records management processes, systems and procedures
- Promote best practice in information governance, confidentiality, data protection and records management across Children's Services.
Our ideal Children’s Services Records Officer will have the below skills and experience:
- Experience of records management, information governance or administrative support within a complex organisation
- Experience of maintaining databases, electronic records systems and document management processes
- Knowledge of, or experience working with, Subject Access Requests, Data Protection legislation, disclosure processes or Freedom of Information requests
- A strong understanding of confidentiality, information security and the handling of sensitive personal information
- Excellent organisational skills, with the ability to manage competing priorities and work to strict statutory deadlines
- Strong attention to detail and a commitment to maintaining accurate records
- Excellent communication skills and the ability to build effective working relationships with a wide range of stakeholders
- Good IT skills, including experience of Microsoft Office applications and database systems
- The ability to work independently, use initiative and contribute effectively as part of a team.
