Hays are working with the Northern Ireland Assembly to recruit a temporary Clerical Officer (Finance) to support with the day-to-day administrative work of the Finance Office.
Your new role
As a Clerical Finance Officer, you will contribute to the day‑to‑day administration of finance activities across areas such as Payroll, Pensions, Claims and Accounts Payable. Your responsibilities will include:
- Provide high-quality customer service to a diverse range of internal and external stakeholders.
- Manage your own workload to ensure the timely delivery of objectives.
- Process, check and input financial information, including invoices, payroll data, expense claims and payments, while resolving related queries.
- Perform reconciliations, investigate discrepancies and process corrections on general ledger accounts and financial systems.
- Maintain accurate financial records and ensure documentation is efficiently filed and recorded.
- Respond promptly to email, telephone and face-to-face enquiries relating to invoices, payroll, expense claims and payments.
- Manage correspondence, incoming mail and shared mailboxes, ensuring information is distributed accurately and in a timely manner.
- Utilise Microsoft Office and financial systems to support daily finance operations and provide accurate information and advice.
- Ensure compliance with organisational policies and procedures.
- Undertake additional duties as required to support the finance team.

What you'll need to succeed
To be shortlisted for this role, you must meet one of the following routes:
Route 1:
- A minimum of 2 A Levels at grades A*-C (separate subjects) and
- 5 GCSEs at grades A*-C including English Language and Mathematics, or equivalent qualifications. Applications will be considered from applicants with formal qualifications of an equivalent or higher standard to those stated.
- At least 2 years' experience in a finance or finance‑related administrative environment covering:
- Processing invoices, payroll information and/or expense claims.
- Communicating clearly with colleagues, stakeholders, customers or suppliers.
- Managing workload effectively and producing accurate work to deadlines.
- Using finance software and Microsoft Office to process financial information.

Route 2:
- A minimum of 4 years' experience in a finance office or an administrative role carrying out finance duties, covering all of the areas listed above.
- Candidates will also demonstrate:
- Strong customer service skills.
- Ability to work effectively within a team.
- High attention to detail and accuracy.
