Job Overview
An opportunity has arisen for an enthusiastic and organised Band 2 Clerical Officer to join the Continence Team. The position will be part of a job share working 18.75 hours a week to provide administrative support for the Continence Team based at Wrexham Maelor Hospital.
The post holder will be an excellent communicator who is familiar with a full range of clerical tasks and be able to undertake specific duties when necessary. Experience of working in a busy office environment and a good standard of typing and IT skills are essential.
The post holder must have the ability to work using their own initiative as well as part of a team and have a commitment to providing quality administrative support to the Continence Team.
Main duties of the job
To provide and organise a comprehensive high level, efficient, accurate and prompt administrative service to the Continence Team and assist in the smooth running of the service. The post holder deals with highly sensitive and confidential information relating to issues affecting patients and their families.
The role consists of:
- Processing patient referrals & product request forms
- Arranging patient appointments via an in house IT system
- Uploading patient documentation
- Processing cancelled clinics, contacting patients & rearranging OPD appointments
- Preparing and arranging associated documentation for Continence training courses
- Creating & processing stock orders
- Receiving deliveries and organising the incoming and outgoing post
- Reporting and logging Estates issues
- Dealing with all manner of general enquiries, over the phone and via email from patients & colleagues

As a member of the Administration Team, a flexible approach to the post is essential to enable prioritising the different workloads and duties.
Excellent communication and interpersonal skills are required to carry out duties with tact, diplomacy and sensitivity.

Essential criteria
- Good general standard of education (e.g. GCSE Maths & English and or equivalent level of work experience)
- Good IT skills & computer awareness including Microsoft Office and Outlook
- ICDL (ECDL) or equivalent experience

- Knowledge of the hospital IT systems
