Client Accounts Administrator
£25,000 to £26,000 · Full time, 37 hours · Remote (UK), with our Cardiff office there whenever you want it
agentOS makes software that helps letting agents run their businesses, and through agentPay we look after their accounts.
Letting agents trust us with their clients' money, and you'll help keep it that way: reconciling accounts, processing payments, chasing arrears and supporting clients through month-end.
No accounts or lettings experience needed. If you're good with numbers, careful with detail and calm on the phone, we'll train you in the rest.
About agentOS
We make software that helps letting agents run their businesses, and through agentPay we look after the accounts side for many of them. We're a team of around 22 based in Cardiff, small enough that your work gets noticed, and part of a larger software group that gives us stability.

What you'll do
- Keep clients' account information up to date and reconcile their bank statements in agentOS
- Process payments for clients, including payment files, invoices and payments to organisations such as HMRC and the Deposit Protection Service
- Chase outstanding arrears by phone, email, text and letter
- Prepare client statements and help clients through their month-end
- Help clients stay compliant, flagging any risks you spot
- Train clients on agentOS, including setting up new accounts clients
- Check in on how clients' accounts are doing, rather than waiting for problems to come to you
What we're looking for
You don't need experience in accounts or lettings. We'll train you. What matters is that you:
- Are comfortable with numbers and careful with detail, because this is our clients' money
- Stay calm and clear on the phone and by email, including when chasing payments
- Keep on top of deadlines, especially at month-end
- Are comfortable using AI tools and picking up new software quickly
- Know when to ask for help, and aren't afraid to

Where it can lead
This role opens several paths, depending on your interests and how you develop: Client Account Manager, Team Leader, Client Accounting Specialist, or Advanced Accounts.
