Client Administrator | Wealth Management | Elstree, Hertfordshire
Salary: £25,000 to £29,000 | Contract: Permanent, full-time, office-based | Hours: Monday to Friday, 9:00am to 5:00pm (1-hour unpaid lunch) | Reporting to: Practice Manager
Shearwater Recruitment is working with an established financial planning and wealth management practice in Elstree to recruit a Client Administrator. This is a varied role supporting the practice's Financial Advisers, combining client administration, day-to-day client contact and an introduction to paraplanning.
The emphasis is on the telephone. You will be the person clients and prospective clients speak to, whether that is booking Annual Review Meetings, chasing outstanding information or handling enquiries, so confidence on the phone matters as much as organisation.
What you will be doing
Client support
- Preparing documentation and meeting packs for client meetings
- Processing new business, client onboarding and ongoing administration
- Liaising with product providers on investments, pensions and protection policies
- Monitoring and progressing client cases from submission through to completion

Client communication
- Making outbound calls to clients to arrange Annual Review Meetings
- Contacting clients to obtain outstanding information and documentation
- Following up with prospective clients where appropriate
- Handling client enquiries professionally and providing excellent customer service
- Managing adviser diaries and appointment scheduling
Compliance and administration
- Maintaining accurate client records and updating CRM systems
- Ensuring all work complies with FCA regulations and the practice's compliance standards
- Supporting Consumer Duty requirements and attending relevant compliance training
Basic paraplanning
- Preparing Annual Review and Fund Switch reports
- Assisting with new investment and pension cases, including regular contributions and lump sum investments
Team support
- Supporting colleagues with administrative tasks
- Helping train new team members and contributing to continuous improvement
What we are looking for
Essential
- Excellent telephone and communication skills, with confidence making outbound calls
- Strong organisational skills and attention to detail
- Excellent customer service skills
- Ability to manage multiple priorities in a fast-paced environment
- Proficient in Microsoft Office and CRM systems

Desirable
- Previous experience in financial services or wealth management
- Knowledge of pensions, investments and FCA regulations
- Experience of adviser platforms and systems such as Salesforce (preferred, not essential)
You will be professional, proactive and organised, trustworthy with confidential information, and have a friendly, confident telephone manner. The practice is looking for someone adaptable who can work independently and as part of a team.
Who this could suit
An administrator or team assistant from an IFA, wealth manager, pension provider or insurer looking to build on that experience. Equally, someone from a client-facing customer service or administration role who is comfortable on the phone and wants to move into financial services, with exposure to paraplanning work.
