Role Outline

We are looking for a highly organised and proactive Client Associate to join our Mobile Services team. You will coordinate client site visits, manage recall lists, allocate resources, and liaise with clients to ensure smooth scheduling and service delivery. In this role, you will also book appointments, release reports, and assist with invoicing.

The role requires strong organisational skills, attention to detail, and the ability to prioritise in a fast-paced environment. If you are adaptable, self-motivated, and possess excellent communication skills, we would love to hear from you.

What You’ll Be Doing

Mobile Services

  • Manipulating client data to develop recall lists
  • Planning efficient visit schedules based on recall requirements
  • Allocation of resources on scheduling system, and identifying efficient service delivery opportunities
  • Communicating with client contacts to book site visits and coordinate completion of appointment schedules
  • Responding to enquiries from client contacts and employees
  • Liaising with client contacts and admin staff to monitor completion of schedules and escalating where schedules are poorly filled
  • Collation of information for handover to screening staff
  • Supporting screening staff to ensure smooth-running of the service
  • Compilation of regular attendance & activity reports to meet client requirements
  • Assist in compiling periodic (eg Quarterly) MI reports
  • Raising monthly invoice requisitions
  • Attending client performance review meetings as required
  • Responding to queries from prospective/new clients
  • Provide support to team.

Case Management

  • Management of cases including;
    • Loading new cases, Case reviews, requesting reports, booking appointments, releasing advice letters, closing cases.
  • Liaising with clients, their employees, internal staff and 3rd parties via telephone, email and letter.
  • Working within company/client SLAs and notifying the Team Leader of any difficulty in achieving these.
  • Escalating complex cases or those that are progressing slowly to relevant colleagues.
  • Act in accordance with the company’s core values of diligence; honesty; exemplary customer service; professionalism; ethical and trustworthy behaviours. Valuing colleagues, customers and business partners, and taking responsibility for their actions.
  • Act within the boundaries set out by the company’s policies to ensure sensitive personal information is protected as required by law, regulatory bodies, ethics and best practice.

What We Are Looking For

We’re looking for a proactive and organised individual with strong communication skills, both verbal and written. You should have excellent organisational abilities, with the capacity to prioritise tasks effectively in a fast-paced environment.

Good IT skills are essential, including experience with database systems, Outlook, Word, and Excel. Knowledge of Office 365 and previous experience in customer service, case management, or Occupational Health would be advantageous.

Hours

37.5 hours per week, Monday to Friday between 8am and 6pm

Salary

£24,784.50 per annum
