Role Outline

As a Client Associate, you will play a vital role in managing cases and ensuring the seamless delivery of our services. Your will coordinate appointments, liaise with clients, employees, clinicians, and third parties, proofread and release reports, and manage administrative processes such as invoicing and case closures.

You will act as a key point of contact to provide essential support and ensure sensitive information is handled securely in line with GDPR and company policies. This role requires excellent organisation, attention to detail, and strong communication skills to support our clients, their employees, and the wider team effectively.

What You’ll Be Doing

  • Management of Occupational Health cases including: booking appointments; reviewing cases, chasing updates and gathering information; reviewing, proofreading and releasing reports; invoicing and; closing cases
  • Answering phone calls, making outbound calls and replying to emails.
  • Using a cloud-based telephony system which records calls for training and quality purposes.
  • Working within GDPR and the company’s policies to ensure sensitive, personal information is protected as required by law, regulatory bodies, ethics, and best practice.
  • Liaising with internal colleagues, clients, their employees, and 3rd parties (including GPs) via telephone, email and letter.
  • Working towards our clients’ goals and the company’s key metrics.
  • Display the company’s CORE values; Caring matters, One team, great Relationships and Excellence all round.
  • Escalating complex cases, complaints or those that are progressing slowly to relevant colleagues.
  • Co-ordinating and maintaining diaries and appointments for all clinical staff ensuring maximum utilisation.
  • Work with a wide variety of specialists and medical professionals, dealing with paperwork and documents, including immunisations & vaccinations.

What We Are Looking For

We are looking for a detail-oriented and proactive individual with excellent verbal and written communication skills, strong IT proficiency (including databases, telephony, and Outlook), and a sound knowledge of GDPR regulations.

You should have customer service experience, strong teamwork skills, and the ability to multitask in a fast-paced environment.

Desirable experience includes working in case management within Occupational Health or healthcare, working from home, and using Microsoft 365 (Word and Excel). A commitment to personal development and a proactive approach are highly valued.

Hours

37.5 hours per week, Monday to Friday between 8am and 6pm

Salary

£24,784.50 per annum
