Role Description
The Client Experience and Delivery Coordinator will be responsible for ensuring the smooth planning, coordination, and operational delivery of key programmes across Illume. They will act as the operational hub for each programme, coordinating participants, client firms, and programme logistics to ensure an exceptional participant experience at every stage. - Coordinating project timelines and logistics
- Preparing client-facing materials
- Managing session invitations and attendance
- Tracking key milestones across multiple workstreams
The Coordinator will liaise regularly with consultants, faculty, and client stakeholders to confirm requirements, gather feedback, and resolve issues promptly. Additional tasks include:
- Maintaining accurate records in project and CRM systems
- Supporting online and in-person events
- Contributing to continuous improvement of delivery processes and client experience standards
Qualifications
Essential
- Exceptional organisation, able to manage multiple concurrent workstreams without things falling through the cracks
- Proactive communication, over-communicates progress, flags issues early, does not wait to be chased
- Stakeholder management, professional, warm, and confident with clients, participants, and senior stakeholders
- Event coordination experience, has planned and delivered in-person events end to end
- Project management, comfortable with timelines, trackers, and keeping multiple owners aligned
- Microsoft Office and Google Workspace proficiency
- Excellent written communication, clear, professional, and on-brand
- Sound judgement, knows when to act independently and when to escalate
- Confidentiality and data protection awareness, particularly in handling participant information and programme records

Desirable
- Experience in financial services, professional services, or the built environment
- Experience supporting learning and development or leadership programmes
- Interest in DEI, culture, and organisational inclusion
- Familiarity with programme evaluation or participant experience tracking
- Experience working in or alongside a founder-led business
- Genuine ambition to grow, this role will evolve as the business scales and the right person will want to grow with it
